The Lucile Packard Foundation for Children's Health, in partnership with Stanford Medicine and Lucile Packard Children's Hospital, unlocks philanthropy to transform health for children and families in Northern California - and around the world.

Through fundraising and grantmaking, the Foundation drives scientific research, innovation, and policy change that will improve care, advance cures, and reform healthcare systems for this and future generations.

MAIN FOCUS : Support fundraising success and donor engagement through gift processing, financial reconciliation, fund management, and project management including managing a small team.

LOCATION : This is an onsite role in Palo Alto, CA, with the expectation of working in the office at least three days per week and more as required.

WHAT YOU'LL DO...

As the Assistant Director, Gift Administration reporting to the Director of Gift Accounting and Fund Management, you are primarily responsible for managing gift processing operations, planning and implementing gift-related projects and process development, and managing a team of up to three Gift and Data Processing Specialists.

You will also support the month-end gift reconciliation and transfer process, fund management, and a significant process redesign leading up to a CRM conversion.

The compensation range for this role is $85k-$95k annually.

YOU'LL BE RESPONSIBLE FOR...

OPERATIONAL DUTIES

  • Supervising the full cycle of gift processing from receipt of gift through acknowledgement and gift transfer, ensuring that all gifts are acknowledged and transferred as efficiently and accurately as possible.
  • Recommending and implementing enhancements to processes to increase accuracy, efficiency and effectiveness while maintaining appropriate internal controls.
  • Assisting in the development, maintenance, and implementation of policies and procedures for all aspects of the gift processing cycle and month end process.
  • Processing complex or escalated gifts; serving in a back-up and / or overflow capacity for gift processing during peak seasons or staff vacations.
  • Working with donors, staff, and counterparts at Lucile Packard Children’s Hospital Stanford and Stanford School of Medicine to answer gift-related questions and resolve gift-related issues.
  • In partnership with the Director of Gift Accounting & Fund Management, establishing training and documentation protocols;

routinely training existing and new staff.

  • In partnership with the Director of Gift Accounting & Fund Management, contributing extensively to the month end gift reconciliation and funds transfer process.
  • In partnership with the Director of Gift Accounting & Fund Management, participating in new fund setup process.
  • Serving as a key partner in an upcoming CRM conversion.
  • Staying abreast of industry trends, best practices regarding gift administration and gift processing.
  • Maintaining PCI DSS compliance.

LEADERSHIP DUTIES

  • Leading, mentoring, and supporting the professional growth of direct reports, building a culture of continuous improvement and collaboration.
  • Distributing processing and project workload among direct reports to ensure coverage, growth opportunities, and effective project implementation.
  • Establishing individual staff goals and objectives in alignment with departmental and Foundation goals and providing consistent and constructive feedback to staff.
  • Promoting a work environment where staff feel engaged, valued, and can do their best work; visibly recognizes the accomplishments of individuals and the team.

  • Regular and predictable attendance is required.

YOU MUST HAVE...

  • Bachelor’s Degree, or equivalent experience preferred.
  • 3+ years of non-profit gift processing or accounting and fund management related experience.
  • 2+ years’ experience managing and leading a team, including mentoring and developing staff.
  • Familiarity with relevant federal and state rules / regulations regarding charitable organizations.
  • Working knowledge of all aspects of the gift cycle, including gift entry and acknowledgement.
  • Intermediate experience using Microsoft Excel (i.e. XLOOKUP, subtotaling) and Word (mail merges).

IT'S AN ADDED PLUS IF YOU HAVE EXPERIENCE WITH...

  • Relational database experience including data entry, query construction, report creation, and data manipulation.
  • Experience with financial reconciliation processes.
  • Experience with Blackbaud’s The Raiser’s Edge.
  • Experience using Microsoft 365 suite.
