Office / Administrative Assistant

Role Description :
This is an entry level position, with some administrative tasks on an ongoing basis suited for a motivated self-starter who can thrive in an entrepreneurial all hands-on deck atmosphere
Primary Responsibilities
- Office :
- Greet Visitors
- Order and maintain office supplies and food
- Responsible for office upkeep
- Manage and maintain office files
- Assist Sales & Marketing teams to ship out samples and merchandise
- Keep samples and merchandise inventory list up to date
- Manage Corporate Apartment coordinating remote workers’ time in Chicago, and reserving apartment(s) ahead of visits
- Manage housekeeping for corporate apartments and Chicago office.
- Manage office-related vendor relationships : Uline, Printer, IT, Office cleaner, Courier service, etc.
- Act as the point of contact for employee needs, in office and remote workers.
- Ad hoc support :
- Coordinate & support travel for C-Suite team, excluding CEO
- Order lunch daily for CEO; Order lunch 1x / week for Chicago office
- Support Field Marketing team with liquor ordering via Distributor for in-office supply.
- Event Assistance :
- Assist Executive Assistant with occasional event planning, outside of office
- Assist Executive Assistant with monthly Chicago office outings Happy Hours / Employee Birthdays
- Manage occasional in-office events, including coordinating any logistics or requests needed.
Qualifications
- Must live in the Chicago Metro area
- Must have personal car for occasional office errand running
- Strong interpersonal and communication skills
- Close attention to detail
- Willingness to pivot tasks, in a time crunch
- Ability to multitask and handle personnel across our different brands
- Proficient in Microsoft Office suite
- Strong problem-solving skills and interest in our industry is a plus
