POSITION SUMMARY : The Associate Executive Director is responsible for the comprehensive oversight and administration of Early Childhood Education at the East Hartford YMCA.
This role ensures high-quality, inclusive, and safe programming that meets all regulatory requirements and aligns with the YMCA’s mission and values.
Additionally, the Associate Executive Director will lead all branch operations, strategic goals and member satisfaction.
ESSENTIAL FUNCTIONS :
1. Regulatory and Organizational Knowledge :
- Demonstrate in-depth knowledge of OEC regulations, YMCA of Greater Hartford procedures, rules, regulations, guidelines, and branch regulations.

2. Program Oversight :
- Oversee East Hartford YMCA programs (ECE, summer day camp, and BELL XCELL program) ensuring consistency with YMCA Association procedures, including emergency procedures, insurance, reporting accidents / incidents, purchasing, personnel, and accounting systems.
- Lead all aspects of Child Development programming, including supervision, coordination, promotion, parent relations, curriculum, scheduling, enrollment, and evaluation.
- Lead staff team of child coordinators, full time and part time personnel
3. Financial and Strategic Management :
- Develop, manage, and monitor assigned operating budgets to meet or exceed targets, recommending adjustments to ensure a balanced operation.
- Monitor reports, analyze data, and ensure overall program success in meeting metrics and goals.
- A general understanding of financial management principles, including budget preparation and management, and the needs and expectations of regular auditing.
4. Staff Management and Development :
- Recruit, hire, motivate, train, develop, and when necessary, engage in progressive supervision with assigned program staff.
- Ensure all new staff members receive an initial orientation covering all aspects of program operation.
- Maintain personnel professional development plans that ensure continuous quality improvement.
5. Quality and Safety Assurance :
- Ensure quality supervision and safety of all program aspects at designated sites through the development and implementation of handbooks, pick-up and drop-off policies, background checks on all staff, and the use of National YMCA Child Care Guidelines.
- Ensure compliance with OEC, School Readiness, NAEYC, and Care4Kids regulations.
- Conduct site visits, monitor, and evaluate all sites and services to ensure compliance with regulatory codes and YMCA standards.
6. Community and Member Relations :
- Develop resources to expand programs and enhance family involvement.
- Work closely with third parties including Office of Early Education, School Readiness, CDC, CACFP, and NAEYC to ensure smooth operations, resource utilization, and proper communication.
- Represent and promote the YMCA in the local community, developing positive working relationships with other organizations, businesses, and governmental entities.
7. Operational Support :
- As Associate Executive Director, support day-to-day branch operations to ensure quality programming and a high level of member satisfaction.
- Provide staff support for assigned committees and leadership for the annual fundraising campaign.
- Ensure the maintenance of branch facilities and properties to uphold high standards of safety, cleanliness, and compliance with regulatory codes.
8. Additional Duties :
- Participate in the annual campaign and special events.
- Perform other related duties as assigned.
QUALIFICATIONS :
- Knowledge of infant and toddler development, Early Childhood Education, School Readiness, and Connecticut Early Learning and Development standards.
- Ability to organize, plan, schedule, and coordinate day-to-day activities.
- Strategic thinking and the ability to relate to individuals and groups.
- Effective oral and written communication skills.
- Ability to delegate responsibility appropriately.
- Personal qualifications per Part 407 : Licensing Standards for Day Care Centers, including respect for children and adults, flexibility, patience, good hygiene, and physical and mental health.
- Ability to multi-task in a fast-paced environment.
Education :
- Bachelor's degree in Early Childhood Education, Social Service field, or related field.
- Demonstrated leadership in long-term planning and successfully accrediting centers through NAEYC.
Experience :
Minimum of 3 years’ successful experience as a supervisor and manager within the YMCA or equivalent experience outside the YMCA.
PHYSICAL REQUIREMENT :
- Ability to supervise children by sight and sound at all times and provide verbal direction.
- Ability to react quickly to safety issues and remain calm in stressful situations.
- Ability to move around the room and assist children with daily activities.
- Ability to lift young children and objects up to 40 lbs.
- Ability to travel to program locations and use a computer and other office equipment.
