RESPONSIBILITIES : Oversee payroll provider's disbursement of multi-state payroll, including garnishments, benefits, and taxes to 2,400+ employees consistent with federal and state wage and hour lawsWorking with HRIS, assist with and implement process improvements and upgrades in Workday, including but not limited to custom reporting, integrations, and testing Critically review and analyze payroll, benefits, and tax procedures to recommend and implement changes leading to best practice operationsReconcile, review, & approve payroll prior to transmission and validate confirmed reportsOversee OSV processing of accurate tax filings and timely year-end reporting requirements, including but not limited to W-2 , including vendor oversight and compliance with vendor management policies and proceduresEnsure payroll compliance with CA, CO, and AZ payroll laws (and other new states as applicable) by facilitation of timely and correct manual check payments, ACH, or debit card fundingEnsure appropriate rates and frequencies are used by payroll provider for federal, state, and local taxesProvide payroll managed services-related data for budgeting and forecasting as requested for internal and external projections.

  • Responsible for variance analysis of actuals to budget or forecastWork with OSV to ensure compliance with federal, state, and local legal requirements by studying existing and new state regulations;
  • enforce adherence and advising management on needed actionsAssist the accounting department and payroll provider in the completion of data needed for state returns and census reports relative to payrollProvide Ad Hoc reports as requested by management and other departmentsFacilitate employee benefit and liability wires / ACH transfers each payroll through Treasury DepartmentValidate payroll funding files for all 401K funding and maintain audit documentationAssist in providing requested documentation and schedules requested for year-end external auditors relative to the financial statement audit, 401K audit, and worker's compensation auditPrepare and maintain documentation related to tax credits available to the organizationMaintain general ledger mapping format inside of Workday HCM and provide details as needed to the accounting department upon monthly reconciliation of those entriesQUALIFICATIONS7+ years of experience processing multi-state payroll, 3+ years' Workday experienceWorking knowledge of end-to-end payroll best practices, including federal and state regulationsBachelor's degree or comparable education or training, preferably in finance function of a financial services companyExcellent relationship building skills both with internal and external customersProficiency in Microsoft office products with an emphasis in spreadsheets, databases, and word processing (including the use of VLOOKUP, SUMIF functions, and other excel functions);
  • should be an advanced excel userAbility to deal sensitively with confidential materialStrong interpersonal (verbal and written) communication skills;

ability to communicate effectively with various levels of managementExcellent decision-making, problem-solving, and analytical skillsHigh organizational and prioritizing skillsStrong work ethic and team playerAbility to work well under tight time frames while multi-tasking and to consistently execute accurate payroll processing PREFERRED / DESIRED QUALIFICATIONS : CPP certificationPrior Payroll System conversion experience
