The Billing Supervisor is a hybrid position 3 days in the Miami office and 2 days remote. This position will report directly to the Senior Billing Manager and will be responsible for supervision of billing team, tracking team productivity, monitoring / addressing and / or escalating issues preventing billing productivity, participation / testing in department projects & system upgrades / changes and other legal billing processes as needed.
Responsibilities :
- Supervise staff in a hybrid environment while managing and processing invoices for your own assigned book of business
- Work collaboratively with the billing management to ensure that all billing team tasks are done in accordance with firm policies and client billing guidelines
- Assist billing coordinators regarding escalated issues
- Onboarding of new attorneys until able to assign to a billing coordinator
- Interviewing and training new billing staff; consistently provide feedback to staff and help to conduct annual performance evaluations;
escalate performance issues as needed to senior billing management
- Work with billing management team to streamline processes and procedures for all phases of the billing cycle; maintain current documentation of those procedures & create new documentation as needed
- Coordinate and work with billing team, clients and lawyers to resolve billing issues
- Conduct testing during projects, system upgrades and when needed
- Implement and maintain client rate agreements and billing guidelines as new matters / clients are opened
- Assist with administrative matter / client changes (i.e. rate changes, billing attorney changes, client transfers, setting up split files, creating clients, etc.
to expedite the billing process
- Other accounting duties and special projects, as assigned by senior billing management
- Monitor staff productivity & provide ideas and suggestions on how to increase
Requirements :
- Bachelor's degree in Accounting, Finance, Business Management or relevant years of experience
- Five years of billing experience in a law firm environment, preferably in a large-firm
- Prior supervision experience required; organizational skills and ability to prioritize and multi-task with a high volume of work in a fast paced environment, deadline driven
- Experience with Bill Blast & Expert / Aderant accounting system strongly preferred
- Experience with e-billing websites such as TyMetrix360, LegalX, LSS, Collaborati, Legaltracker, CounselLink, Passport, Counselgo and more are a plus
- Experience with Outlook, Word, PowerPoint and Excel
- Excellent written and verbal skills required to effectively communicate with team and management
- Excellent analytical and sound problem solving skills necessary to compile, analyze and interpret billing data / issues
- Ability to perform at high levels in a fast paced ever-changing work environment
- Ability to travel to other offices, if needed
