Job Summary

The OR Resource Coordinator is responsible for ensuring compliance with departmental standards related to OR scheduling, OR block utilization, and OR block management / oversight.

The OR Resource Coordinator oversees the processes that produce and maintain the OR schedule at UCSF Health Mount Zion Hospital.

This position is responsible for developing analytical tools to troubleshoot problems and monitor performance and utilization of the surgical schedule.

This person acts as Superuser for Optime scheduling to monitor efficacy for all surgical procedures and provide support and guidance for the decentralized schedulers and clinical staff to ensure scheduling standards are met.

Collaborates with the Perioperative leadership to identify improvements and workflow gaps for scheduling accuracy. Enhances partnership between the surgical clinics and the OR by conducting monthly meetings to provide strategic planning and identify opportunities for utilization and patient access.

The OR Resource Coordinator is responsible for providing a full range of customer service to ensure inquiries and / or problems are resolved with speed and accuracy, including researching, resolving questions and problem-solving, maintaining case records, and communicating resolution and / or status.

Maintaining communication with decentralized schedulers, surgeons, nurses, and anesthesiologists, as well as other units including Preop, Pacu, and SPD in changing case information to ensure the daily OR schedule is efficient, has proper instrumentation / equipment, and correct procedures booked on the day of surgery.

The OR Resource Coordinator also provides executive administrative support to the Perioperative Services Leaders. Responsible for processing all Human Resources functions including employment transactions, recruitment, retention, leaves of absence, and performance evaluations.

Acts as a resource for problem resolution for all HR matters and must exercise discretion in the management of sensitive, often confidential materials and / or information.

Maintains records for license certification, compliance requirements, and Nursing Administration records / files as appropriate.

Assists with staffing schedule requests including vacation schedules and staff / call schedules for the department. Maintains Periop Unit Director calendar and schedules / coordinates meetings.

Performs independent and collaborative projects and supports administrative assistant positions when needed.

The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF.

For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $101,600 - $157,500 (Annual Rate).

Department Description

The Operating Room (OR) at Mount Zion (MZ) is an inpatient care facility comprised of 10 suites performing procedures and surgeries in breast / plastics, endocrine, otology / head / neck / sinus (OHNS), benign gynecology, ophthalmology, minimally invasive spine, pain services, radiation oncology, and orthopedic surgery.

The Mount Zion OR serves patients of at least 18 years of age, and patients must be eligible for surgery on an outpatient, inpatient, or overnight stay basis.

The OR has recently redesigned and built two new operating suites, which possess state-of-the-art integrated computer and video systems.

The main focus is on cancer treatment with some surgeon clinics located in the Helen Diller Family Comprehensive Cancer Center building.

This is also the primary site for ophthalmology surgery, which continues to grow every year. Recently, we added orthopedic surgery to our Mount Zion surgical services.

There are three sub-specialties in orthopedics : shoulder joint, hand and wrist, and ankle surgery.

The newest technology that has been adopted in the operating room at Mount Zion includes :

  • The newest generation of Ophthalmology Lasers, Microscopes, and Ultrasounds
  • Setimag technology which provides ultrasensitive detection of sentinel lymph node in treatment of breast and lymph nodes
  • The OHNS service performing the (Functional Endoscopic Sinus Surgery) FESS Sinus Endoscopy procedure and Sleep Apnea Procedures
  • Latest technology in orthopedic surgery
  • The OR staff is diverse, both in terms of clinical experience, generational representation, and cultural make-up; a number of nurses on this unit possess more than 30 years of experience specifically at Mount Zion.

Nurses are technically astute and operate complex equipment.

Required Qualifications

  • Bachelor's degree in a related area and / or equivalent experience / training.
  • 3-5 years of experience in administrative analysis and reporting techniques, project management, and / or human resources policies and procedures for employees.
  • Strong / Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, and persuasiveness, advising, and counseling skills.
  • Strong skills in short-term and long-term strategic planning, analysis, problem-solving, and customer service.
  • Thorough knowledge and skills with relevant business software systems, i.e., Word, Excel, PowerPoint, Outlook.
  • Able to work in a high-stress environment with individuals of diverse cultural backgrounds.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in planning, resourcing, and monitoring effective delivery of training.
  • APEX Optime trained or similar surgery scheduling experience.

Preferred Qualifications

  • Thorough knowledge of organizational policies and procedures.
  • Thorough knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting and fund management, and / or personnel management.
  • Solid knowledge of common University-specific computer application programs.
  • Knowledge of a variety of administrative operation activities, such as OR scheduling principles and guidelines.
