Marathon TS is looking for a Jr. Administrative Assistant that provides support to the Senior Leadership supporting our client by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.
The Administrative Assistant may assist, identify, analyze, update, support, schedule, organize, maintain, and manage the following tasks :
- Administrative functions including but not limited to, supporting project / program tracking, data analysis and documentation, program document preparation and presentations, and budget and field support tracking;
- Clerical functions such as control and filing / library maintenance, portfolio review support, management systems support, handling information requests, program file management, preparing correspondence, receiving visitors and calls, arranging conference calls, route incoming and outgoing mail, and scheduling meetings (technical and program related, conferences and events planning).
- Travel planning and coordination including arranging flights, itineraries, meeting schedules, and Visa procurement.
- Manages executive level schedules and coordinates with external agencies as necessary.
- Will accompany senior leadership to meetings and events in the DC area as required by the Administrative Assistant.
Accountable For :
- Coordinating Team input for specific projects.
- Scheduling and coordinating meetings and conferences
- Preparing presentations as part of a team with guidance and supervision.
- Recording and documenting office procedures and processes.
- Maintaining meeting minutes as needed.
- Candidate must present an organized and professional work space and appearance at all times.
- Conduct work in a timely and professional manner.
- Skilled in effectively managing and prioritizing work.
- Maintain ability to work well with others, adhere to contract requirements, and comply with company policies and procedures, and SOPs.
- Exceptional oral and written communication skills.
Job Requirements (Education, Experience, Professional Associations) :
Mandatory :
- United States Citizen
- Able to pass Federal National Agency Check with Inquiries (NACI)
- Eligible for SECRET level security clearance
- Demonstrated proficiency in Microsoft Office, internet, email applications, and database applications
- Demonstrated ability to appropriately handle sensitive and confidential information
- Minimum of one year professional administrative support experience
- Process oriented with demonstrated problem-solving skills
- Ability to professionally interact with clients at all levels.
Preferred :
- Hold active NACI clearance or above
- Previous experience in USAID or other Federal Agency
Physical Requirements :
- Ability to carry up to pounds.
- This role is largely sedentary.
- Ability to sit for long periods of time.
