Position Overview :
We are seeking a highly organized and detail-oriented Facility Manager to oversee the administrative and facility management functions of our outpatient therapy program for adolescents.
This role requires strong administrative skills, front desk management, and the ability to ensure smooth day-to-day facility operations.
The ideal candidate must be bilingual, fluent in both English and Spanish.
Key Responsibilities :
1. Team Supervision
Supervise non-clinical staff ensuring timely completion of administrative tasks such as drug tests, attendance tracking, census and intake coordination.
2. Program Administration
Assist in coordinating the overall program schedule including consults, intakes, psychiatric sessions, clinicians' sessions, and external group facilitator attendance to ensure all daily operations run smoothly.
3. Front Desk & Communication
- Manage front desk operations, including answering phones, greeting visitors, and handling inquiries.
- Sort and distribute mail, ensuring timely handling of correspondence.
4. Performance & Data Management
Assist with track key performance metrics across the areas of patient care, staff management, and business performance.
5. Budget & Supply Management
- Oversee the facility's budget, ensuring expenses are monitored and managed effectively.
- Purchase and manage inventory for food, office supplies, and other necessary program materials.
6. Facility & IT Maintenance
- Coordinate facility maintenance requests and ensure timely resolution.
- Oversee regular maintenance of office equipment, including printers (e.g., troubleshooting, replacing toner, coordinating repairs).
- Assist with basic IT troubleshooting and escalate larger issues to the appropriate team.
7. HR & Staff Support
- Assist in staff recruitment, onboarding, and record-keeping of necessary documentation.
- Track employee PTO, attendance, and assist with performance reviews and employee engagement surveys.
- Serve as a liaison between staff and management to address concerns.
8. Compliance & Documentation Oversight
Ensure safety standards and compliance processes are completed according to JCAHO, DCF, and AHCA regulations.
Qualifications :
- Fluency in Spanish and English required
- Strong administrative and front desk management experience, preferably in a healthcare or therapeutic setting.
- Familiarity with JCAHO, DCF, and AHCA standards is a plus.
- Knowledge basic IT troubleshooting.
- Excellent organizational and multitasking skills.
- Ability to handle sensitive information with confidentiality.
- Proficiency in Microsoft Office Suite.
- Strong communication skills and attention to detail.
