The Office Support Specialist II is responsible for answering inquiries,obtaining information and a variety of office duties in a fast paced clinicalfront office setting.
This position provides support to clinical staff workingwith mental health and addictions clients of all ages in person and on thephone.
Theoffice setting will vary from Outpatient Clinic to Residential Sites. Typicallyhandles the more complex administrative functions at a site.
Location : This position is based out of LifeWorks NW's Beaverton site.

EssentialResponsibilities :
- Performs reception duties, answering phones (onmulti-line phone system). Greet persons entering establishment, determinenature and purpose of visit, and direct or escort them to specificdestinations.
- Act as a resource to staff and clients.
- Responsible for insurance verifications, setclient fees, balance payment agreements and administrative intakes.
- Update and maintain records in proprietarysoftware.
- Manage office paperwork and flow.
- Serve as back-up for other administrativepositions as needed.
- Does data entry, references information on thecomputer, schedules, runs basic reports as needed.
- Scanning, copying and faxing as needed.
- Receive payments and record receipts forservices.
- Hear and process complaints from customers andpublic.
- Schedule appointments, and maintain and updateappointment calendars.
- Provide information about establishment such as locationof departments or offices, employees within the organization, or servicesprovided.
- Participate in regular individual and teammeetings with supervisor. Attendinformational and administrative meetings which may include all staff and teammeetings, consultation with other staff and required trainings.
- Unload and sortcourier items and / or office supplies as needed.
- May travel between sites or in the community.
Qualifications :
- High school diploma / GED or equivalent.
- Previous experience / formal education preferablyin a clinical setting.
- Prior experience working as a receptionistpreferably in a mental health setting.
- Good computer skills including a functionalknowledge of Outlook, Word and Excel, 10-key, telephone skills and electronicrecord systems.
Ability to master proprietary software which may includeon-line scheduling and billing. Must be able to keyboard 45 wpm.
Knowledge and previous experience with office equipment including photocopying,faxing and scanning etc.
Demonstrates effective communication skills andmaintains a cooperative working relationship with others in a culturallydiverse environment.
May require fluency in another language and experience ina specific culture.
May require ability to work some eveningsand / or weekends.
