JOB DESCRIPTION :
Perform secretarial and administrative duties that require knowledge of overall operation of the school district and each of its departments.
Handle confidential information and engage in frequent contact with all levels of district employees, outside agencies, and the general public.
DUTIES and RESPONSIBILITIES :
- Maintain physical and computerized files and records, purging as appropriate.
- Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
- Compile and organize data.
- Be familiar with District policies and procedures and be able to answer questions relating to both.
- Implement the District’s Records Management Program under the supervision of the Executive Legal Assistant. Provide training as necessary to campus and departments staff related to destruction and retention of records.
- Under the supervision of the Executive Legal Assistant, respond to properly served subpoenas for District records by verifying validity of subpoenas, coordinate and oversee timely compliance, collect responsive documents, and redact, as necessary and prepare business records and affidavits.
- Perform routine bookkeeping tasks and maintain department budget records. Prepare and process department purchase orders and payment authorizations.
- Order and maintain office supplies.
- Make meeting arrangements including preparing materials.
- Make travel arrangements including making hotel arrangements and turning in registration forms.
- Assist in preparation of training materials.
- Notarize affidavits and other documents as needed.
- Communicate effectively with the public and District staff.
- Organize and maintain routine work activities of the office including handling mail and incoming telephone calls.
- Monitor routing of contracts for required approvals.
- Maintain the District’s On-line Procedure Manual.
- Respond to requests for student education records in compliance with the Family Educational Rights and Privacy Act (FERPA).
- Create and maintain litigation and other legal files.
- Assist in reviewing and responding to open records requests.
- Collect, sort, alphabetize, and / or order various legal documents for filing, storage, or processing.
- Assist in reviewing and responding to subpoenas.
- Perform general clerical work.
- Perform other duties as assigned.
- Maintain confidentiality of information.
- Maintain regular attendance and punctuality.
EXPERIENCE :
- Experience working in the legal field and / or in a public-school setting
- One year of secretarial experience
QUALIFICATIONS :
Education / Certification :
High school diploma or GED
Special Knowledge / Skills :
- Proficient skills in typing, data entry, word processing, and file maintenance
- Ability to operate computer / computer applications
- Ability to communicate effectively orally and in writing
- Ability to deal with disgruntled individuals in situations involving the school district
