Summary :
This position is responsible for providing overallsecretarial support to the Executive(s) to whom assigned toaccomplish daily workloads with duties including or comparable tothose indicate below.
The Executive Assistant handles a widevariety of situations involving the clerical and administrativefunctions of the executive offices, which often cannot be broughtto the attention of the executive.
The Executive Assistant servesas liaison between the Executives, Medical Staff, Board members,major donors, associates and the public, making independentdecisions when appropriate and working as part of a team foroverall support of executives.
CHRISTUS SpohnHospital Corpus Christi - Shoreline overlooking Corpus Christi Bayis the largest and foremost acute care medical facility in theregion, with a full range of diagnostic and surgical specialtyservices in cardiac, cancer, and stroke care.
It is the leadingemergency facility in the area with a Level II Trauma Center in theCoastal Bend, staffed with physicians and nurses specially trainedin emergency services.

Responsibilities :
- Meets expectations of the applicable OneCHRISTUSCompetencies : Leader of Self, Leader of Others, or Leader ofLeaders.
- Maintain executive’s calendar, schedulingmeetings and appointments as requested; on own initiative,establishes appointment priorities, reschedules or refusesappointments or invitations, and draws attention to important datesor conflicts.
Prioritizes own time according to workload demands.
Plans, coordinates and participates in administrativeand board-level meetings, following guidelines in Hospital Bylaws,JCAHO Administrative and Board standards and other regulatoryentities, schedules meeting rooms;
orders catering; preparesagendas; does timely mail-outs; takes and transcribes minutes;coordinates follow-up actions; and, works directly with CommitteeChairs.
- Provides polite, courteous and professionalreception and telephone service; tactfully determines nature andurgency of business;
- answers inquiries and resolves conflictsindependently whenever possible using own judgment and knowledge ofhospital operations;
refers to appropriate person ifnecessary.
- Reads incoming correspondence; determinesdeadlines and suspense dates; checks accuracy of documentsrequiring executive’s signature;
- summarizes content if needed;provides necessary backup material for executive’s review; offersadvice or initiates reply if appropriate;
and, coordinatesfollow-up as necessary.
Composes correspondencerequiring understanding of hospital operations and policies;researches and prepares special projects or presentations;
initiates and maintains large and complex paper and electronicfiling systems, develops method for organizing and retrievinginformation.
- Makes complex travel arrangements forindividual executives or groups, authorizing airline travel,lodging, conference rooms, catering, audio-visual equipment.
- In the executive’s absence, responds to requests for actionor information; if necessary relays to the appropriate staffmember;
intercepts requests and helps implement action; insurestimely response; decides whether executive should be notified ofimportant or emergency matters.
- Provides assistanceand training to peers and subordinates on equipment, hospitalpolicies and workplace standards. Supervises clerical support asneeded.
- Demonstrates competence to perform assignedresponsibilities in a manner that meets the population-specific anddevelopmental needs of the members served by the department.
- Appropriately adapts assigned client assessment treatment,and / or care methods to accommodate the unique physical,psychosocial, cultural, age specific and other developmental needsof each client served.
- Takes personal responsibilityto ensure compliance with all policies, procedures and standards aspromulgated by state and federal agencies, the hospital, and otherregulatory entities.
- Performs all duties in a mannerthat protects the confidentiality of patients and does not solicitor disclose any confidential information unless it is necessary inthe performance of assigned job duties.
- Must haveexcellent communication skills and organization skillsrequired.

B.Experience
- 3 years ofexperience in office and calendar management isrequired.
- Experience working in supportedfunctions' work processes and environment ispreferred.
