A reputable California-based law firm specializing in asbestos litigation is seeking a highly organized and detail-oriented Legal Secretary to join the team in Walnut Creek.
The ideal candidate will have experience in legal document preparation, case management, and extensive calendaring, as well as a proven ability to handle travel arrangements and expense reporting.
Primary Functions and Essential Responsibilities :
- Prepare, revise, and format legal documents with precision and attention to detail.
- Create shell documents for pleadings and manage cases from start to finish.
- Handle calendaring, scheduling, and docketing for cases.
- Experience with state and federal court filings, including e-filing, is required.
- Prepare and manage expense reports, as well as arrange travel for attorneys.
- Coordinate and schedule internal and external meetings, conference calls, and video conferences using Outlook and Zoom.
- Arrange for catering and manage document distribution as needed.
- Prioritize and manage Outlook calendar items, ensuring attorneys are informed of any changes and stay on schedule throughout the day.
- Coordinate domestic and international travel arrangements, including air, ground, and lodging.
- Organize and create detailed expense reports.
Desired Qualifications :
- Minimum of 3 years of experience in a legal assistant or similar role, preferably in a law firm setting.
- Strong knowledge of legal document preparation and e-filing procedures.
- Proficiency in Outlook, Zoom, and other relevant software.
- Exceptional organizational skills and the ability to prioritize tasks effectively.
- Excellent communication skills and the ability to work well under pressure.
- Detail-oriented with the ability to manage multiple tasks and deadlines.
