Under the direction of the Accounts Payable Manager, the AP Specialist is responsible for maintaining accounts payable records, managing vendor relationships, and resolving vendor and invoicing discrepancies.
The candidate must be well trained in working in a customer service environment where strong communication skills are required.
KEY RESPONSIBILITIES
- Manages timely processing of incoming invoices, resolves vendor and invoice issues
- Prepares prepaid expenses amortization journal entries and other allocation journal entries
- Assists AP manager in preparing for annual or program audits
- Participates in special projects involving the Accounts Payable team
Education and Experience Required :
- Bachelor’s Degree in Accounting or related field
- Hands-on experience in GL coding, PO matching, data entry, and vendor relationship management
- Experience in resolving AP-related issues
- Experience in preparing journal entries
- Strong proficiency with Microsoft Office applications, specifically Excel, Word, Outlook, and internet applications
- Experience using accounting software more advanced than Quickbooks; Blackbaud preferred
- Experience in implementing new software / cloud-based applications
- 2+ years of experience in a high-volume non-profit organization with multiple funding sources and complicated general ledger allocation processes
- Culturally competent and able to work with a diverse population

- Able to enter data into various electronic systems while maintaining data integrity and accuracy
- Professionalism, punctuality, flexibility, and reliability are imperative
- Able to communicate well at all levels of the organization including working with organization leadership and high-level representatives of partner organizations
- Strong written skills necessary to correspond by email and document / update system notes regarding important updates on accounts and issues
- Integrity to handle sensitive information in a confidential manner
- Strong initiative and enthusiasm with a willingness to pitch in whenever needed
- Strong problem-solving skills
- Excellent organization skills and ability to multitask and juggle multiple priorities
- Outstanding ability to follow through with tasks
- Able to work cooperatively and effectively as part of an interdisciplinary team and independently assume responsibility
- Able to work within a frequently changing project scope while maintaining overall direction and structured priorities
- Able to review other staff’s work
