The Space and Facilities Assistant reports to and works closely with the Facilities Coordinator and Project Manager as a member of the Court of Appeals Space and Facilities department.

They will communicate effectively with the Facilities Coordinator in order to ensure the building and the chambers are well-maintained, and that the needs and concerns of residents and visitors are dealt with promptly, fairly and effectively.

Working with the Facilities Coordinator, the Facilities Assistant develops and maintains daily, monthly, and annual priorities, adjusting as needed through regular communication.

They provide excellent customer service performing and coordinating administrative and technical work related to the day-to-day building projects and court-related activities in accordance with court approved policies, procedures and internal controls.

Representative Duties

  • Prepare requests for office supply purchases, miscellaneous services, and furnishings.
  • Receive deliveries and provide invoices / packing slips on all procured supplies, furniture and IT equipment items.
  • Maintain copier services, meters and related work orders.
  • Inventory furniture and tracks both accountable and non-accountable property for disposal. Arrange for moves of equipment and furniture.
  • Set up courtrooms and visiting judge suites for court week; assigns office space and parking as directed.
  • Maintain the court calendar as it relates to scheduling events and meetings in the courthouse. Schedule courthouse tours, events and facility use on EMS.

Give tours as needed as backup docent.

  • Inspect visiting judge suites and resident judge's chambers weekly and communicate issues and concerns to Facilities Coordinator, GSA and Building Maintenance.
  • Knowledge of mailroom procedures to serve as backup mail clerk and supply clerk.
  • Knowledge of the responsibilities of courtroom deputies to serve as backup if needed.
  • Create new employee, law clerk and extern ID cards. Provide liaison services with court security in providing access cards.
  • Manage the driving, maintenance and purchase of the court van.
  • Attend GSA Bi-weekly meetings and maintain meeting minutes for Facilities Coordinator to ensure the completeness and timeliness of project delivery.
  • Relay monthly facility use (visiting judge space assignment) to GSA and CSOs.
  • Participate in the coordination of security project issues with the U.S. Marshals Service

as they relate to court space.

  • Attend conferences, training, and meetings, as required by Facilities Coordinator.
  • Maintain inventory; dry clean and assign robes for all court sittings.
  • Order and update chambers directory signs for newly appointed judges and visitors.
  • Assist in escorting out-of-circuit visiting judges during court weeks.
  • Ability to communicate effectively (orally and in writing) with individuals and groups.
  • Work is performed in an office setting and may occur at off-site locations or temporary duty stations.
  • Some lifting of boxes and movement of furniture or equipment, approx.. 50 lbs. is required.
  • Perform other related duties, as assigned or required.

Required Qualifications

  • At least one year of specialized experience.
  • A valid CA driver's license
  • Court experience is strongly preferred.

Salary* : Depending on qualifications and experience, $55,776 to $90,660 (CL 25)

with promotion potential to CL 26
