The primary focus of this role will be helping to ensure a positive experience for our candidates and new contractors. The Onboarding Specialist will assist the recruitment practice with the onboarding process of recruited candidates and payrolled contractors for various clients and locations.
The onboarding process includes administrative oversight involving the completion of Background checks, drug testing, safety training, I9s, employment and education verifications, and customer-specific documents.
Essential Duties and Responsibilities :
- With great attention to detail, assist candidates and contractors with onboarding, including working with specific orientation processes and contractor issues, including direct deposit, tax forms, workers' compensation reports, benefits administration, address changes, and vacations / PTO.
- Represent Acara as the point of contact for contractor issues and concerns; occasional on-site support at a key client in Dallas is required
- Coordinate the completion of new start paperwork, ensuring each document is accurate and completed in a timely manner through our web portal in our ATS SmartSearch.
- Communicate regularly with individual Recruiters on the status of their candidates' onboarding status.
- Administer the background check process, the drug screen test, and safety training through our third-party vendors, ensuring that these processes are completed timely and have followed Acara's protocols for completion.
- Assist with payroll responsibilities by communicating with the contractors on the submittal of time sheets and reviewing and submitting expenses and per diems into the VMS (Vendor Management Solutions) web portals.
- Assist in making payroll corrections by processing rate changes, and discounts, setting up direct deposit, and releasing and invoicing timesheets, expenses, and bonuses.
- Communicate regularly with operations corporate personnel regarding payroll changes and other employee administrative issues.
- May process and track customer-required drug testing and security clearance paperwork as required by the customer.
- Comply and adhere to all ISO Quality policies and procedures
- Submit periodic reports to management as requested
- Responsible for various other administrative duties as directed by the Company
