What You’ll Do
- Performs a wide range of administrative duties, coordinating information within the department(s) for various staff, executives or teams.
- Responsible for the organization of department files and communication of pertinent information to the proper individuals.
- Handles incoming calls and directs message(s) to proper individuals.
- Makes travel arrangements and meeting reservations for department personnel and groups and monitor expenses and budgets for internal, external meetings.
Greets vendors and visitors.
- Monitor and maintain schedules, appointments and due dates.
- Types and distributes correspondence for department personnel.
- Create emails, memos, letters, presentations and worksheets for various department and management correspondence, reports and presentations.
- Maintains department files and records, worksheets, and systems (budgets and expenses, invoicing and supplies). Monitor and order department supplies.
Knowledge / Skills / Background / Experience
- 3-5 years prior previous secretarial, administrative assistant, office services experience supporting various management levels and prioritize tasks and deliverables.
- Proficiency with Office Suite, email and Outlook.
- Strong verbal and writing skills.
- Customer focus in dealing with all levels of employees and visitors and maintain confidentiality.
