Operations Coordinator, Ambulatory

The primary purpose of the Operations Coordinator position is to perform highly responsible operations support duties using independent judgment within defined departmental guidelines and according to departmental policies and procedures.

Performs operational support tasks at the assigned Houston Area Location (HAL). Occasional travel to other Houston Area Locations will be required.

KEY FUNCTIONS

Operations Support

  • Center operations purchasing & expense tracking utilizing Resource One.
  • Request and maintaining of PO's as needed for Center specific licensing needs.
  • Check request for Center as needed.
  • Procard purchases and reconciliation.
  • Center CEMS request.
  • Equipment service calls utilizing Bio Med and equipment vendors.
  • Equipment RMA Repairs and tracking documents.
  • Key request for Center as needed.
  • Furniture repair request for Center as needed.
  • Asset management and tracking for Center.
  • Vendor Support (Konica, Matheson Gas, ALSCO, Aramark, Stericycle, EShip, FedEx) add to Admin.
  • Courier request for center operations.
  • Center conference room management ( AV needs, room setup and room scheduling).
  • Patient nutrition orders for ATC / PACU (specific to HALS).
  • Assistance with creating outlook directories and email groups for Center.
  • Assistance with employee badge request for Center.
  • Locker assignments for Center.
  • Issuance of parking tokens for campus garage (specific to League City HAL).
  • Assistance with creation and maintaining Center employee staff roster and contact list.
  • Assistance with maintaining Sharepoint site documents and calendars for Center.
  • Assistance with Daily Safety Event Report system for Center.
  • Enter information into RedCap reporting system for tracking of Center clinical merit events (specific to League City HAL).
  • Assistance with yearly Space Planning system for Center.
  • Center Events / Activities (ex. Nurses week, Employee appreciation, blood donor program) as needed.
  • Stocking of general office supplies and lunch-room supply- primary.
  • Work in collaboration with center's facilities team, biomed and housekeeping as needed.
  • Café support (specific to HALS).

Other job duties as assigned.

Required : Bachelor's degree.

Required :

Four years of experience in a professional administrative capacity.

May substitute required education with additional years of equivalent experience on a one to one basis.
