The New School Openings (NSO) / Company School Facilities Coordinator will assist the New School Openings team with projects and coordinate the use of vendors for facility repairs and maintenance of company-operated facilities.

This role also partners with school leadership to ensure scheduling and operations are optimized during repairs and maintenance.

RESPONSIBILITIES :

Procure vendors for recurring HVAC maintenance, schedule visits with local team

Manage Maintenance Helpdesk requests, source and vet vendor options and procure bids, provide necessary information to the team for approval process.

Schedule maintenance and collect necessary documentation for Certificates of insurance and accounting documentation.

Maintain Master Vendor list. Continue to source regional and National vendors for facilities maintenance.

Work with the leader of NSO team on establishing a recurring maintenance schedule looking ahead 5 years and with development of provisional budgets.

Be administrative contact to key vendors for materials procurement and regional / national maintenance vendors. Proactively identify areas for cost savings and potential vendors.

Process invoices and reconcile against budgets to track progress.

Provide administrative support to the team as necessary with NSO project launches and Company School relocations.

Provide support to the team on NSO call scheduling and tracking training progress for new owners.

Assist with NSO data collection on spending and organization of files and maintaining lease control documents for all locations.

Accountable for timely soft opening of new schools per New School Opening budgets

Evaluate new school opening milestones by ensuring school facilities are fully completed by operating Date

Cultivate a collaborative environment across the team to support a consistent "one brand" vision

Assist with Project Management

All other duties as assigned

REQUIREMENTS

1-3 years of equivalent work experience

An understanding of basic building systems (HVAC, electrical, plumbing) preferred

Bachelor’s degree preferred

Experience with Google Suite and project management software preferred

Actively develops open and trusted relationships with internal partners, franchisees, and stakeholders.

Effectively communicates and positively influences franchisees

Possesses a high degree of self-motivation with a proven track record of achieving results.

Strong business acumen, analytical, problem-solving, negotiation and influencing skills.

Ability to handle multiple tasks within a constantly changing and demanding environment.

Strong organizational skills; demonstrated track record for flexibility and urgency in prioritizing time management

Excellent communication (written and oral) skills.

Passion, love, knowledge and / or experience in music, the arts and / or education is highly desirable
