Summary Job Description : Under the direction of the Executive Director, the Sr. Director of Finance and Administration will provide strategic, financial and operational leadership for all administrative and financial functions at St.

Francis Children’s Center. This role provides the leadership, management, and vision necessary to ensure that St. Francis Children’s Center (SFCC) has the proper operational controls, administrative and reporting procedures, and people systems in place to ensure financial strength and operating efficiency.

Essential Duties and Responsibilities

  • Serve as chief advisor to the Executive Director on matters of budget, finance, billing and internal controls.
  • Participate in strategic planning for the organization. Complete recommendations on financial viability of program development.

Raise issues affecting budgets and operational results.

  • Forecast the organization’s future business results, growth opportunities, and organizational risk to inform leadership decisions.
  • Provide quality assurance on all internal and external financial reports.
  • Provide administrative oversight of human resources (HR), information technologies (IT) systems, accounting, operations, buildings and grounds and the daily administration of the organization's main office.
  • Provide quality assurance on all internal and external financial reports.
  • Develop and monitor a system of internal controls to maintain integrity of operations, transactions, and safeguarding of assets.

Develop and implement procedures for all appropriate financial matters.

  • Reviews legal contracts and agreements in collaboration with the Executive Director.
  • Oversee all insurance policies to ensure adequate coverage and protection of assets and staff.
  • Evaluate and update systems and regulatory compliance for Financial Policies, Information Technology, Human Resources, Facilities and Communications to improve efficiency with automation across organization.
  • Lead in the absence of the Executive Director, handling situations requiring immediate attention.
  • Assist the organization as needed with special projects, as assigned by the Executive Director.
  • Occasional evening and weekend work, associated with special events.
  • Perform all other duties as assigned.

Financial Management

  • Accountable for the strategic financial sustainability of the organization (in collaboration with the Executive director and Board).
  • Prepare annual budgets to support the Executive Director and Board, including but not limited to Development funding proposals, program budgets, and potential new sources of revenue.

Conduct future projections of the budget.

  • Prepare monthly / annual budget presentation for the Finance Committee and Board of Directors
  • Oversee all accounts receivable and payable. Oversee financial day-to-day accounting including cash, checking, credit cards and investments.
  • Reconcile all bank and investment accounts. Electronically transfers funds within accounts as needed.
  • Assure core processes are effective, efficient, and documented and have proper internal controls.
  • Oversee program budgets of each department (in collaboration with team leaders).
  • Optimize working capital and cash flow management.
  • Reconcile contributed revenue with the Development department to ensure accurate financial reporting.
  • Administer process for time tracking of employees to allocate salary expense to programs.
  • Prepare various monthly financial statements and reports for the Executive Director which include metrics and analysis.
  • Serve as plan trustee for company sponsored 403(b) plan. Ensure all fiduciary duties and reporting requirements are met as they relate to ERISA.
  • Coordinate annual audit with outside firm(s).
  • Prepare an annual financial report including footnotes and Form 990.
  • Support the development of the Investment Policy Statement, as well as its execution and management in conjunction with the Executive Director and Finance Committee of the Board.
  • Maintain and file all legal compliance documents (e.g., 1099's and 1096's).

Operations and Administration

  • Oversee the accounting, operations (including buildings and grounds and main office), HR and IT departments.
  • With HR, develop annual IT plan to ensure network infrastructure meets current and future needs of the organization.
  • Ensure compliance with local, state, and federal employment regulations.
  • Oversee internal employee communication efforts regarding company policies, engagement programs, compensation, benefits.
  • Assist HR with the selection and administration of employee benefit plans.
  • Oversee the payroll system, and ensure compliance with federal and state payroll tax laws.
  • Review and approve payroll prepared by HR prior to pay dates.
  • In collaboration with HR, support staffing of the organization, hiring, onboarding, mentoring, and retention of employees.
  • Handle staff issues and concerns in a prompt, fair manner according to the organization’s Employee Handbook.
  • Communicate and educate employees at all levels on the company's culture, policies, and practices.

Direct supervision of staff in Accounting, Operations, HR and IT

  • Provide direct supervision of 7-10 staff members in accounting, operations (including buildings and grounds and main office), HR and IT.
  • During orientation period and tri-annually thereafter, evaluate work performance of direct reports.
  • Handle staff issues and concerns in a prompt, fair manner according to the organization’s employee guidelines.
  • Monitor schedules and time off requests.
  • Assure that staff meets all organization policies and procedures.
  • Provide a model of excellence and leadership at all times.

Education / Experience

  • Bachelor’s degree from an accredited university in Business Administration, with an emphasis in Accounting or Finance.
  • MBA or CPA certification is strongly preferred.
  • Minimum of five years of experience as a financial officer with broad administrative responsibilities is required, preferably within a nonprofit environment;

thorough knowledge of non-profit accounting is required.

  • Experience with nonprofit accounting software is a plus.
  • Excellent written and oral communication skills with a desire and ability to communicate with people at all levels of financial knowledge.
  • Analytical, financial analysis and forecasting capabilities.
  • Strong organizational and planning skills.
  • Demonstrated interpersonal skills working with executives and multi-level audiences.
  • High level of confidentiality and business ethics.
  • Outstanding computer literacy, especially knowledge with Excel.
  • Ability to manage multiple priorities and meet deadlines.
