Under the direction of the IT Project Manager, the IT Project Coordinator assists with supporting the management and on-time execution of the IT Project Portfolio.

The IT Project Coordinator will be responsible for coordinating project development and communicating project status as it relates to deadlines as well as assist with chartering, scoping, requirements gathering, document approval tracking and management, project plan creation, status reporting, project resource allocation, project costs and financial analysis, and vendor management.

It will be critical that the IT Project Coordinator work successfully across multiple departments to ensure all stakeholders are actively engaged in the completion of the project.

Duties and Responsibilities

  • Project Planning :
  • Maintenance of comprehensive project plans, timelines, and schedules.
  • Coordinate project resources, ensuring that tasks are assigned, and deadlines are met.
  • Communication :
  • Act as a primary point of contact between project stakeholders, including team members, clients, and management.
  • Facilitate communication and collaboration among project team members to ensure project alignment.
  • Prepare and distribute project status reports, meeting minutes, and other documentation.
  • Scheduling and Coordination :
  • Schedule and organize project meetings, including preparing agendas and tracking follow-up tasks.
  • Coordinate the availability of team members and resources to ensure project milestones are achieved.
  • Monitor project timelines and adjust schedules as needed to accommodate changes or delays.
  • Documentation :
  • Maintain and update project documentation, including plans, schedules, budgets, and reports.
  • Ensure that all project documentation is organized and accessible to team members and stakeholders.
  • Document changes to project scope, schedule, and resources, and ensure all stakeholders are informed.
  • Resource Management :
  • Assist in identifying the need for project resources, including personnel, equipment, and materials.
  • Coordinate with external vendors and suppliers as needed to procure project resources.
  • Quality Assurance :
  • Monitor project activities to ensure compliance with project specifications, standards, and quality requirements.
  • Support the implementation of corrective actions and improvements.
  • Risk Management :
  • Identify potential project risks and issues and assist in developing mitigation strategies.
  • Monitor and report on risk factors and escalate significant issues to the project manager.
  • Maintain a risk register and ensure that all risks are documented and managed appropriately.
  • Support and Administration :
  • Provide administrative support to the project team, including managing project files and records.
  • Assist in the preparation of project presentations and reports for stakeholders.
  • Perform other duties as assigned to support the successful completion of projects, execute and update store environment project plans for both home and presentation scopes, including planogram, fixture, and signage development and approvals, store execution scheduling, and the coordination of all necessary stakeholder meeting.
  • Ensure all relevant expenditures are planned and tracked.
  • Supports direct supervisor in efforts to minimize cost, through efficient execution of their duties while maintaining the highest quality
  • Participates in development training and all applicable company meetings pertaining to the position
  • Supports direct supervisor with regular performance evaluations of employees
  • Additional Duties as assigned by management
  • Regular Attendance is required

Requirements

Education and Experience

Education Requirements

  • Associate degree in Computer Science, Information Technology / Services, Business, or related field preferred.
  • Certification or experience in Agile methodologies and Scrum practices.

Years of Experience

  • Certification or experience in Agile methodologies and Scrum practices.
  • Experience working in IT Field

Skills

  • Experience with project management software
  • Strong skills in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Capability to create reports, presentations, and spreadsheets.
  • Experience in creating, maintaining, and organizing project documentation.
  • Ability to ensure all project records are accurate and up-to-date.
  • Ability to identify problems and develop effective solutions.
  • Capability to identify potential risks and develop mitigation strategies.
  • Excellent verbal and written communication skills.
  • Ability to convey information clearly and concisely to various stakeholders.
  • Ability to work effectively with diverse teams, including technical and non-technical members.
  • Skills in fostering a collaborative and inclusive team environment.
  • Manage time effectively.
  • High level of accuracy and attention to detail in all aspects of project coordination.
  • Capability to ensure all project deliverables meet quality standards.
  • Ability to schedule meetings, coordinate team activities, and update project timelines in Outlook, Teams, and project management software.
  • Flexibility to adapt to changing project requirements and priorities.
  • Ability to handle unexpected challenges and adjust plans accordingly.
  • Proactive approach to identifying project needs and taking initiative to address them.
  • Strong sense of responsibility and ownership over project tasks.

Physical Requirements

General office environment requiring ability to :

  • Stand, walk, sit for extended periods of time.
  • Speak and listen to others in person and over the phone and video conferencing.
  • Use keyboard and read from computer screen and reports.
  • The ability to lift up to 15 lbs.
