Job Title : Accounting Specialist / Junior Staff Accountant
Position Type : Full-Time, On-Site
Overview : Our client is in the Commercial Property Management space, is seeking a meticulous and experienced Accounting Specialist focused on Accounts Receivable to join their team.
This role requires a deep understanding of accounting practices, particularly in the areas of cash receipts, billing, and tenant management.
The successful candidate will play a critical role in ensuring accurate and timely billing for tenants, maintaining financial records, and facilitating effective communication with property management teams.
Key Responsibilities :
- Utilize advanced accounting software and Microsoft Office Suite to manage accounts receivable processes.
- Collect, reconcile, classify, and enter all charges associated with properties and management companies.
- Accurately enter, allocate, and post tenant deposits and payments to the appropriate accounts within stipulated timelines.
- Prepare bank deposits and ensure they are processed accurately and efficiently.
- Oversee tenant move-out processes and related billing adjustments.
- Maintain an up-to-date tenant database, including billing adjustments and compliance with Common Area Maintenance (CAM) billing requirements.
- Process monthly utility billings and miscellaneous charges.
- Monitor accounts receivable aging reports; collaborate with management to collect outstanding balances and issue late notices.
- Conduct monthly reconciliations of accounts receivable and billing.
- Generate and distribute month-end financial reports.
- Perform analytical tasks to address tenant and property management inquiries.
- Calculate and invoice monthly management and leasing override fees.
- Support the Accounting Manager in the preparation of financial reports, budgets, and other accounting-related tasks as needed.
- Participate in weekly meetings with the Property Management team to address accounts receivable issues and provide resolution to discrepancies.
- Maintain organized files and ensure the accuracy and consistency of all calculations.
- Act as a backup for accounts payable functions when required.
Essential Skills :
- Extensive knowledge of accounts receivable functions, accrual accounting principles, and general office practices.
- Proficient in using Excel, Microsoft Word, and accounting software with a strong ability to analyze data and generate reports.
- Exceptional organizational skills with the ability to prioritize tasks effectively and manage multiple deadlines.
- Excellent verbal and written communication skills, ensuring clarity and professionalism in all interactions.
- Detail-oriented with a flexible approach to problem-solving.
Qualifications :
- A minimum of five years of experience in accounts receivable, accounts payable, and billing processes.
- Foundational accounting knowledge specific to real estate or property management operations.
- A minimum of two years of post-secondary education or equivalent experience.
- Advanced training in accounting or a related field is a plus.
