Job Summary
Prepares and maintains automated and manual personnel records for all employees of the division; prepares and reviews all paperwork necessary to process new hires and salary increases for current employees;
reviews and verifies all forms submitted by the local units to ensure accuracy and completeness; performs secretarial functions and assists with special projects as needed.
- Maintains and monitors the integrity of the Ceridian Day Force HCM infrastructure to include assigning and / or removing user roles to employees and officers (which defines their level of rights and access to information;
- creating shift definitions and rotations; updating the salary scales; positions, grades; auditing all positions, average daily and weekly hours and employee leave balances;
and training end users on roles and responsibilities; managing and training end users on the performance management and recruitment modules, and related systems to support short an d long-range HR goals.
- The HR Generalist will assist in maintaining standard reporting measures, quantitative explanation of relevant data, and ongoing analysis of alternatives and solutions;
- assists the Human Resource Department in technical point-of-contact capacity for assigned functional areas; serves as a liaison for HR Generalist matters including implementation, training, troubleshooting and auditing within the Division;
provides training for the divisional users on HRIS system.
Prepares, updates, and monitors manual / automated personnel records; updates data and prepares / generates various personnel reports and lists;
ensures that accurate and complete personnel records are maintained for employees; instructs departmental personnel in the use of the automated system.
Assists with the manual personnel recordkeeping filing system which contains a hard copy of all personnel records including discipline, salary histories, benefit eligibility, etc.
establishes and utilizes a personnel bring-up system; ensures the files are maintained in an organized and efficient manner.
Receives, reviews, and processes all employee forms requiring Divisional Finance Board approval at the time a new employee is hired and at annual review dates.
Reviews and monitors employment applications and terminations, performance evaluations and salary increases for completeness and compliance with established policy;
submits the same to the Divisional Finance Board for approval. Assists the Divisional Director of Human Resources in ensuring that annual reviews are conducted in a timely manner by preparing and sending a reminder letter to the corps.
Maintains an in the HRIS system up-to-date list of employees of all local units including job titles, FLSA status, hire date, anniversary date, salary history, work week, etc.
prepares standard and unique reports containing similar information as requested.
Maintains the confidentiality of all personnel and payroll records, and the confidentiality of personnel-related correspondence, conversations, or issues residing in the division.
Knowledge, Skills, and Abilities
Ability to maintain the confidential nature of personnel related information.
Knowledge of the concepts associated with human resources information systems.
Knowledge of general office practices and procedures.
Knowledge of Ceridian Day Force HCM or similar HRIS
Skill in extracting data and creating reports.
Skill in problem solving complex technical and system issues.
Ability to communicate with technical and non-technical users and facilitate effective outcomes.
Ability to interpret and assist in enforcing personnel policies and procedures in a tactful and courteous manner.
Ability to learn and maintain a current knowledge of The Salvation Army mission, philosophy, culture, protocol, and organizational structure.
Ability to communicate effectively (both verbally and in writing), prepare a variety of reports and briefs for Corps Officer, supervisors and managers concerning Day Force HCM.
Ability to interpret, explain, and enforce established personnel policies and procedures.
Understanding of HR Information Systems (HRIS), interfaces and transmission protocols (SFTP, FTP, Encryption).
Demonstrated proficiency in developing queries (reports) in order to transform data to information, information to knowledge and knowledge into decision making support.
Ability to provide assistance with various computerized systems problems.
Education and Experience
Bachelor's degree from an accredited college or university in Human Resource Administration, Business Administration, Communication, Information Technology or a closely related field, and two years’ experience administering an HRIS system or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.).
Working Conditions
Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
