Responsibilities
Front Desk Management : Greet clients and visitors with a warm and courteous demeanor. Answer and direct incoming calls promptly and professionally. Manage inquiries and provide accurate information or redirect as necessary.
Client Interaction : Schedule appointments and coordinate meetings for clients and wealth advisors. Assist with client inquiries, requests, and basic account inquiries.
Office Coordination : Maintain the reception area, ensuring it is tidy, organized, and well-presented. Manage conference room bookings and coordinate meeting logistics.
Administrative Support : Provide general administrative support, including data entry, filing, scanning, and document preparation. Assist with mail distribution and shipping services.
Communication Liaison : Serve as a communication hub between clients, advisors, and internal departments. Relay messages and ensure timely delivery of information.
Visitor Management : Issue visitor badges, maintain visitor logs, and ensure adherence to security protocols. Monitor and manage access to the office premises.
Team Support : Assist other administrative staff and departments with overflow work, as needed. Collaborate with team members to ensure seamless office operations.
Compliance and Confidentiality : Adhere to company policies and procedures, including confidentiality agreements. Handle sensitive information with discretion and maintain client confidentiality.
Qualifications & Requirements
High school diploma or equivalent; additional certification in Office Management or related field is a plus.
Proven experience as a Receptionist, Front Desk Representative, or similar role in a professional environment, preferably within financial services or a corporate setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., printers, copiers, fax machines).
Excellent verbal and written communication skills; ability to interact professionally with clients and colleagues.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Attention to detail and accuracy in handling administrative duties and client information.
Positive attitude, proactive approach, and strong customer service orientation.
Ability to maintain composure under pressure and handle multiple tasks efficiently.

Pay Information
This position is non-exempt and is paid according to the laws of the State of Illinois. The pay range for this position is $20-25 USD per hour. We are required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
