JOB SUMMARY / ACCOUNTABILITY

Under the supervision of the Division Director, responsible for the overall operation and activities at the Matrix Community Center.

Responsible for securing tenants, Mission Partners, and other entities to raise funds and enhance the profile of the program.

GENERAL RESPONSIBILITIES

  • Actively participates as a member of the Administrative Team and other agency meetings.
  • Sets workflow priorities and quality standards for maintenance, custodial, security, and safety tasks.
  • Manages work priorities through the use of a Work Order System.
  • Oversees various routine maintenance, custodial tasks, and various work projects.
  • Establishes, implements, and enforces facilities policies and procedures.
  • Coordinates activities and supervises staff.
  • Ensures compliance with policies, procedures, contractual obligations, and accreditation standards.
  • Willingness to work irregular hours, evenings, and / or weekends.
  • Provides continuous Quality Improvement to assure effective delivery of client services.
  • Actively supports Matrix Human Services’ mission and strategic planning via interaction with the Matrix Board of Directors and committees.
  • Works in conjunction with Advisory Board, Officers, and Committees as applicable.
  • Responsible for management and confidentiality of client and Division records.
  • Provides well-organized office services, clerical support, staff, and administrative records.
  • Maintains a working knowledge of the Matrix Policy and Procedures Manual.
  • Provides a monthly Division report of outcomes, activities, and concerns.
  • Provides training of staff and volunteers for individual growth and development.
  • Promotes the use of volunteers and students to enhance the Division’s capacity to service clients.
  • Oversees and directs program development, analysis, evaluation, and reporting.
  • Conducts periodic needs assessments to determine types and levels of services needed.
  • Provides and nurtures an atmosphere conducive to the clients’ and program(s) growth and development.
  • Ensures ethical principles are practiced and client rights are protected.
  • Develops program goals and monitors outcomes.
  • Researches new funding sources and prepares funding proposals.
  • Ensures reasonable measures of safety for clients, employees, and visitors.
  • Acts as an advocate for clients by identifying, verbalizing, and addressing needs and concerns.
  • Reviews, approves, and submits all program reports within designated time frames.
  • Ensures component integration into the total program.
  • Oversees client referrals, recruitment, and enrollment as applicable.
  • Provides representation on boards and committees and attends community meetings and events when necessary.
  • Ensures and monitors self-assessment.
  • Oversees facilities and maintenance of all licensing requirements.
  • Works with the fiscal team to prepare budget and other fiscal reports as required.
  • Collaborates with Matrix Finance Department to ensure appropriate accounting practices.
  • Ensures that expenditures are in line with the approved budget.
  • Provides for inventory, security, care, and maintenance of division premises, equipment, and supplies.
  • Seeks to identify and secure new or expanded resources.
  • Serves as a liaison in collaboration with human service providers and funding agents.
  • Works with Matrix Marketing Department to facilitate marketing and fundraising activities.
  • Engages Mission Partners / tenants.

POSITION QUALIFICATIONS

  • Bachelor’s Degree in Business, Human Resources, or other related field required; Master’s Degree preferred.
  • Five to ten years of progressive supervisory / administrative experience in Human Resources.
  • Computer proficiency in Microsoft Office.
  • Skills to determine needs and formulate HR goals.
  • Demonstrated interpersonal and negotiation skills.
  • Ability to interact positively in a culturally diverse environment.

WORKING AND ENVIRONMENTAL CONDITIONS

Works in a normal office environment with usual pressures of managing personnel and meeting time constraints. Driving to multiple locations is common.
