We’re looking for a driven and dedicated Real Estate Administrative Assistant (Floater) to join our growing team. This individual will complete cross-training with other positions and provide back-up support as needed to the Transaction Coordinator, Listing Coordinator, and Director of Operations (DOO) by providing flexible administrative assistance in support of our systems and structure.
Please note this is an in-person position.*
General Office Duties Outside of Providing Backup Support :
- Maintain organized and accessible digital and physical files.
- Perform miscellaneous tasks as directed to support the overall efficiency of the Team.
- Participate in team meetings (including 9 : 05 calls), and other training opportunities when possible.
- Manage the team's cell phone (TCP) during workdays.
- Prepare items needed for closing gifts, open houses, etc., as needed.
- Exhibit strong computer skills, including mastery with Matrix, DocuSign or similar, CRM, etc.
- Show initiative in self-development, processes, systems, teamwork, etc.
- Maintain and update online systems, files, and other database / archive components as needed according to systems and structure in place.

Responsibilities :
- Participate in training sessions to improve skills with administrative tasks in the real estate industry
- Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized
- Respond to customer needs with urgency and attentiveness
- Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible
- Schedule necessary appointments with all parties, including open houses and the final walkthrough
Qualifications :
- A valid Real Estate License is required for this job
- Either already has or is working towards real estate license
- Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems
- Flexible working schedule to accommodate clients on nights and weekends
- Excellent written and verbal communication skills
- Candidates are required to have a high school diploma or GED
