Job Description :
We are seeking a Client Services Coordinator to join our dynamic, team-oriented office located in Zionsville, Indiana. We need someone that is extremely organized, proficient in Microsoft Office (Excel, Word, Outlook), experienced in client relations, and comfortable scheduling vendors.
This position is essential to ensuring client expectations are met in a timely and professional manner. Our primary clients are banks and investors.
We are not a contractor, developer, or architectural firm, so we are not pressured to complete projects on time or under budget;
we only report on what we see and our opinion of the project.
Responsibilities :
- Managing client requests, scheduling vendors, coordinating with internal staff, and sending client
- reports daily to ensure timely delivery of services to our clients.
- Procuring new vendors as well as maintaining relationships with existing vendors.
- Anticipating and proactively address scheduling conflicts and challenges.
- Generating reports, analyzing data, and making data-driven scheduling decisions.
- Data entry and maintenance of client, vendor, and project databases.
- Resolving vendor billing discrepancies and remittance questions.
- Following up with vendors to obtain invoices to keep billings current with timely payments.
- Bookkeeping support such as recording invoices in QuickBooks Online and reconciliations.
- Administrative support such as answering calls, maintaining files, creating reports, and preparing correspondence to clients.
Qualifications / Experience :
- Proficient with Microsoft Excel, Word, Outlook.
- 2+ years of experience with scheduling or billing, client services, or administrative support.
- 2+ years of billing / accounts receivable / payable experience.
- Well organized with the ability to prioritize / manage multiple time sensitive tasks simultaneously.
- Excellent problem solving, decision making, and time management skills.
- Self-motivated with the ability to work independently and as part of a team.
- Strong customer service, interpersonal, and written and oral communication skills, and the ability to maintain a positive attitude in a fast-paced environment
Schedule : Monday Friday (8a to 5p)
