Job Summary
The Student Services Supervisor position is located within the Admissions, Records, and Registration department and reports to the Director / Registrar.
The Supervisor collaborates with the Manager and Director to advance the department's ongoing operations while focusing on the primary objective of staff development and service improvements for students.
This position requires a highly organized, proactive, and effective leader for the role of the Supervisor. The ideal candidate will excel in managing a comprehensive range of supervisory duties, enhancing the quality of services provided to students across multiple channels, including in person at the front line, welcome desk, phone, email, and live chat.
The Supervisor is essential in ensuring efficient departmental operations and exceptional student support. Regular evaluations of support services and implementing improvements to better support the needs of students and staff are also crucial aspects of this role.
Additionally, the Supervisor would have experience with enrollment reporting, residency applications, transcript evaluation, and adherence to compliance-based procedures, including federal and state policies.
This position is vital to our commitment to providing high-quality support and services to our students, and will oversee full-time and part-time staff.
Essential Functions
- 30% - Collaborate with the Manager and Director to advance departmental operations; focus on staff development through hiring, training, performance evaluations, coaching, and providing continuous feedback;
- lead, supervise, and support both full-time and part-time staff, ensuring they complete assigned duties efficiently and meet performance standards;
identify training needs and opportunities to develop and maintain training material
25% - Analyze service reports and feedback to identify trends and areas for improvement to enhance the quality of services provided to students across multiple channels, including in person, at the welcome desk, phone support, email correspondence, and live chat;
develop and implement strategies to evaluate service quality and student satisfaction; review current processes to evaluate effectiveness make recommendations for improvements
20% - Manage a full range of administrative tasks to ensure seamless day-to-day operations; oversee service metric reporting and ensure accurate and timely electronic document submissions;
maintain and improve the quality assurance process to consistently meet and exceed service standards
20% - Conduct regular evaluations of support services to identify strengths and areas needing improvement; implement improvements to better support the needs of students and staff, ensuring exceptional student support;
maintain functional knowledge of all key departmental responsibilities, including enrollment reporting, residency applications, transcript evaluation, graduation processing, compliance with federal and state policies adherence to compliance-based procedures and relevant regulations
5% - Collaborate with key stakeholders and partners on and off campus, participate in college and district-wide committees, serve on work groups, and perform other duties as assigned
Minimum Qualifications
Bachelor's Degree from a regionally accredited institution in education, sociology, business administration or directly related field and four years of student services or related experience.
An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
Desired Qualifications
A. Master's Degree from a regionally accredited institution
B. Three (3) years of experience hiring, training, and supervising / leading full-time staff
C. Four (4) years of recent experience (within the last year) in the Admissions, Records, and Registration
D. Three (3) years of experience utilizing technology to perform work and monitor progress
E. Three (3) years of experience developing strategies to evaluate and enhance quality assurance procedures
F. Three (3) years of experience working with internal and external stakeholders, serving on committees and workgroups
G. Two (2) years of experience providing effective verbal and written communication skills with the ability to clearly convey information, provide instruction, and present recommendations
Special Working Conditions
Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving : http : / / www.
