Executive Assistant to the Dean of Dental Medicine
$22.00 / hr.-$23.00hr.
Monday- Friday 8 : 00 am to 5 : 00 pm

The Executive Assistant is responsible for providing clerical, administrative, and project support to the Dean for the College of Dental Medicine, South Jordan Campus, overseeing and supporting all organizational duties and ensuring that the office is operating smoothly and efficiently.
They will also manage and distrube a weekly update to the college such as list of new employees, contruction updates CODM Community-based projects and reconcile all monthly card charges for the Dean’s office, Associate Dean’s, and Assistant Dean’s offices.
Duties and R espons i b iliti e s (Essential Functions)
- Provide operational and administrative support to the Dean as needed
- Responsible for meticulous calendar management, including scheduling appointments, office meetings, booking conference rooms and classrooms for events, and communicating with multiple parties to schedule events
- Develop and disseminate a weekly update to the CODM
- Set-up Lunch an learns, speaker and student attendance
- Administer, manage, and reconcile card charges made to the College of Dental Medicine purchase card used by academic, research, and administration offices, and ensure expenses are entered in Concur in a timely manner
- Process invoices in Concur or complete check requests for consultants, donations, university dues, deans’ professional dues, banquets, etc.
- Prepare and confirm travel and accommodation arrangements and prepare reimbursement documents quickly and accurately for employees and visitors.
- Assist in organizing and preparing documents for the College of Dental Accreditation (CODA)
- Serve as a key point of contact for College of Dental Medicine with other college units and personnel, including Accounts Payable, Facilities, IT, Marketing, etc.
- Interact professionally with all levels of employees, partners, and visitors
- Regular attendance is an essential function of the job
- Reliable and timely with the expectation of 40+hours per week.
