The Recruitment Strategy Lead is responsible monitoring and enhancing recruitment activities to successfully meet targeted enrollment goals for study protocols and enroll appropriate subjects in protocols.
Key Responsibilities
Essential Job Duties : Responsibilities may include but are not limited to :
- Recruitment Strategy Leads responsibilities include, but are not limited to :
- Participation in Weekly Study Delivery Calls for all assigned study sites
- Provide campaign performance status updates across all activated tactics (media, email marketing, HCP referrals, community events, etc )
- Monitor and escalate scheduling issues / challenges to Call Center Director for immediate action (DNQ and No-Show activity, etc )
- Participate in sponsor / CRO status meetings / calls
- Manage and direct the activities of patient recruitment vendors (marketing agencies, technology partners, etc )
- Provide support / recruitment updates for CRO / Sponsor meetings, calls, emails
- SIV Participation - work with Site Leads on SIV preparation
- PSLs will share PSV Checklists and will deliver on recruitment-related SIV actions
- IRB Packets - development and timely routing for sponsor and reg approval
- Ownership and oversight of recruitment strategy and program delivery for assigned study sites.
- Program manage recruitment activity from Study-Start Up to Study Close-Out.
- Collaborate with cross-functional teams on recruitment strategy and delivery.
- Leverage legacy data and insights to create a data-driven recruitment program.
- Manage Study Start Up delivery timelines and deliverables.
- Assigned as the primary point of contact and escalation for all patient recruitment program needs.
- Manage and communicate enrollment goals and timelines as aligned with business needs.
- Collaborate with internal and external stakeholders to review and optimize recruitment performance to meet organizational goals.
- Communicate and liaise with clients and all stakeholders (internal & external) in a timely and professional manner.
- May assist with staff scheduling to ensure optimal department coverage, payroll timecards, absence tracking / approvals, new hire orientation and training per operational needs.
- May assist with people management activities for assigned team, including participation with interviewing, completing performance appraisals, engaging with employee counseling, career coaching, team timecards and pay, absence tracking / approvals, new hire orientation and training for assigned staff / teams per operational needs.
- Ensure call center activities comply with regulatory guidelines and company policies.
- Participate and present in management or site meetings.
- Perform other related duties as assigned.
Skills, Knowledge and Expertise
Minimum Qualifications : A Bachelor’s degree in health administration, health sciences, business or related field AND a minimum of 2 years related experience, or an equivalent combination of education and experience, is required.
Experience with calendar management / scheduling is required. Clinical trial management system experience is preferred. Bi-lingual (English / Spanish) proficiency is a plus.
Required Skills :
- CRO / Recruitment Agency required.
- A good understanding of media strategy, supplemental recruitment tactics (materials, community outreach, physician referrals).
- Experience managing recruitment programs from study start up to close out. Understanding of study performance metrics / KPIs, etc.
Sponsor / CRO engagement how to manage customers.
- Proficiency with computer applications such as email, electronic health records, and basic applications.
- Ability to type proficiently (40+ wpm).
- Must possess strong organizational skills, attention to detail, and have basic math proficiency.
- Well-developed written and verbal communication skills. Bi-lingual (English / Spanish) proficiency is highly preferred.
- Well-developed listening skills and the ability to work well alone as well as in a team atmosphere.
- Ability to handle multiple tasks and changes in workloads and priorities.
- Ability to be professional, respectful of others, self-motivated, and exemplify a strong work ethic.
- Must possess a high degree of honesty and dependability.
- Ability to work under minimal supervision, identify problems and help find solutions.
- Ability to handle highly sensitive patient health information in a confidential and professional manner, and in compliance with HIPAA guidelines.
