Mission of the Assistant Office Manager
The Assistant Office Manager reports to the Practice Administrator. The mission of the role is to create an exceptionally welcoming patient experience that puts our guests at ease, builds relationships, and sets the stage for a positive and productive appointment.
The Assistant Office Manager will also be responsible for assisting the Practice Administrator in leading and managing the team in a positive way.
The Assistant Office Manager will help create a distinctively different experience in dental care and will represent and maintain the Dental Excellence brand of friendliness, professionalism, and stellar service.
The results of this position will assist with industry-leading patient net promoter scores and a high percentage of patient referrals.
Key Responsibilities
- Phone Calls
- Collecting patient balances and estimates on treatment
- Maintaining 5-Star Call Certification
- Staying in the "Bubble" - we are the first and last person(s) that patients have interactions with.
- Confirmation Calls
- Scheduling Treatment for our Patients and Collecting Deposits
- Presenting financials
- Balancing the deposit
- Running off reports for end of day to include production, adjusted production, collections, and new patients.
- Patient Check-Out
- Monthly Finance Reports (Care Credit / Sunbit / Proceed)
- Manage Budget / Ordering of Office Supplies
- Handle Patient Concerns when PA is out of office
- Display and encourage positive moral / culture of team
- OSHA HIPPA Scheduling and Reports
- Case Presentation and Acceptance Tracker
- Assist with meeting planning / shopping etc
- Manages Patient Schedule for Optimum Efficiency and Productivity
- Ability to work independently, prioritize tasks, and multitask.
- Maintaining a full and productive schedule for the DDS, EFDA and RDH(s)
