Position Overview
The Administrative Assistant will work under general supervision and on own initiative. Perform standard and advanced secretarial work to support department heads.
Position requires superior administrative and organizational skills, a thorough knowledge of practices and procedures of the function, company policies and procedures.
Essential Job Functions :
- Provide administrative and clerical support to department heads.
- Ensure employee time reports are correct, have appropriate approval and are submitted to payroll department.
- Track employee attendance.
- Assist in scheduling and making logistics arrangements for meetings and events.
- Process documents to update and maintain files and records.
- Coordinate and assemble sales packets.
- Assists Office Manager with scheduling general office / building maintenance.
- Order and maintain office and kitchen supplies.
- Make travel arrangements, when required.
- Greets and escorts visitors; informs visitors of basic safety guidelines.
- Instruct applicants on the on-line application process.
- Answer and directing calls to appropriate parties, taking messages.
- Open, sorting, and distributing correspondence, including email, faxes, and regular mail.
- Coordinate safety activities and maintain safety matrix and files.
- Other tasks as assigned.
Basic Qualifications :
- 3-5 years of recent manufacturing administrative experience.
- Proficient in the latest versions of MS Office : Word, Excel, Power Point and SyteLine.
- Must possess interpersonal skills.
