We are seeking a highly organized and proactive Executive Secretary & Administrative Assistant to provide comprehensive support to our executive management team. This pivotal role requires a professional with exceptional communication skills, a keen eye for detail, and the ability to thrive in a dynamic office environment. The ideal candidate will be a master of multitasking, capable of managing a wide range of administrative tasks with discretion and efficiency.
Key Responsibilities
- Provide high-level administrative support to executives, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
- Serve as the first point of contact for executives, screening inquiries and managing internal and external communication with professionalism.
- Prepare, proofread, and edit correspondence, communications, presentations, and reports to ensure accuracy and a polished final product.
- Organize and maintain filing systems, both digital and physical, ensuring quick retrieval of documents and information.
- Handle confidential information with the utmost integrity and discretion.
- Provide exceptional customer service to clients, partners, and staff, representing the executive office positively.
- Assist in the preparation for meetings, including agenda creation, material distribution, and minute-taking.
- Utilize Microsoft Office Suite (Excel, Word, PowerPoint) to create spreadsheets, documents, and presentations that support executive decision-making.
Qualifications & Experience
A minimum of 1 year of experience as an Administrative Assistant in a professional office environment.A minimum of 1 year of experience directly supporting executive-level management.At least 2 years of proven customer service experience.Required Skills
