The Proposal Writer is a key player driving new business opportunities by creating high-quality proposals, presentations, and marketing materials within company guidelines, all in a fast-paced, deadline-driven environment.

This position will work diligently in a collaborative environment, across all internal departments to gather the necessary information, define the scope of work, and craft the intricate details to ensure the full life cycle of the proposal process.

This will involve assisting with researching active Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Quotes (RFQs), as well as showcasing proven technical writing skills in the drafting, editing, formatting, and submitting of proposal responses.

Attention to detail, organization, and the ability to work in a deadline- driven environment are crucial for the success of this position and for overall business development.

This role will require proven skills with writing software including expertise with using Adobe InDesign and other writing software.

You will also be responsible for maintaining project timelines, uploading and updating bid records in Salesforce, and ensuring all proposals are submitted on time prior to set deadline dates.

The ideal candidate will demonstrate excellent technical writing skills and the ability to work effectively at all levels of the organization.

A proactive, detail-oriented approach is essential to ensure the timely delivery of high-quality work that supports business development.

Proposal Writer Responsibilities :

  • Prepare and write comprehensive proposals for turn-key projects that include design, procurement, construction, and commissioning.
  • Collaborate with project managers, engineers, and other stakeholders to gather relevant project information and specifications.
  • Conduct thorough research on industry trends, competitors, and project requirements to enhance proposal quality and competitiveness.
  • Analyze client needs and translate them into actionable proposal elements.
  • Coordinate with various departments, including design, procurement, and construction teams, to ensure proposal alignment with project execution plans.
  • Assist in defining project scopes, timelines, and budgets within proposals.
  • Develop clear, concise, and compelling technical narratives that highlight the company’s strengths and capabilities regarding turn-key solutions.
  • Create necessary documentation, appendices, and presentations to support submission requirements.
  • Ensure proposals meet all client specifications and adhere to regulatory and quality standards.
  • Review and edit proposals for clarity, accuracy, and persuasiveness.
  • Participate in pre-proposal meetings and presentations to establish rapport with potential clients and understand their expectations better.
  • Address client inquiries and revise proposals based on feedback received.
  • Gather and analyze feedback on submitted proposals and contribute to the refinement of proposal processes and templates.
  • Stay updated on best practices in proposal writing and changes in the turn-key project landscape.
  • Assist in the preparation of presentation materials for client pitch meetings, ensuring that key messages from the proposal are effectively communicated.
  • All other duties as assigned.

Qualifications :

  • Bachelor’s degree in Construction Management, Engineering, Business Administration, Communications, or related field.
  • Minimum of 3-5 years of proposal writing experience within the construction or engineering sectors, specifically focusing on turn-key projects.
  • Strong understanding of design-procure-construct-commission processes and related terminology.
  • Exceptional written and verbal communication skills; ability to tailor messages for various audiences.
  • Attention to detail and strong organizational skills to manage multiple proposals simultaneously.
  • Proficiency in proposal software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work collaboratively in a team-oriented environment and independently under tight deadlines.

Working Conditions :

Exposed to a normal office environment the role may involve sitting for extended periods, utilizing phones, computers, printers, and general office equipment.

En plus de la rédaction, vous effectuerez des recherches sur les tendances du secteur et les concurrents, analyserez les besoins des clients et améliorerez en continu les processus de rédaction de propositions.

Ce rôle implique également de participer aux réunions avant la proposition, de soutenir les présentations aux clients et d'interagir avec les parties prenantes afin d'assurer un processus de soumission de propositions fluide.

Responsabilités générales :

  • Coordonner avec les différents départements, y compris les équipes de conception, d'approvisionnement et de construction, pour s'assurer que les propositions sont en adéquation avec les plans d'exécution des projets.
  • Contribuer à la définition des portées, des délais et des budgets des projets dans les propositions.
  • Développer des récits techniques clairs, concis et convaincants qui mettent en avant les forces et capacités de l'entreprise en matière de solutions clé en main
  • Créer la documentation nécessaire, les annexes et les présentations pour soutenir les exigences de soumission.
  • S'assurer que les propositions respectent toutes les spécifications des clients et sont conformes aux normes réglementaires et de qualité.
  • Revoir et éditer les propositions pour en garantir la clarté, l'exactitude et la force persuasive.
  • Participer aux réunions et présentations avant la proposition pour établir une relation avec les clients potentiels et mieux comprendre leurs attentes.
  • Répondre aux questions des clients et réviser les propositions en fonction des retours reçus
  • Recueillir et analyser les retours sur les propositions soumises et contribuer à l'amélioration des processus et modèles de proposition.
  • Se tenir à jour des meilleures pratiques en matière de rédaction de propositions et des évolutions du secteur des projets clé en main.
  • Assister à la préparation de documents de présentation pour les réunions de présentation aux clients, en veillant à ce que les messages clés de la proposition soient bien communiqués.
  • Effectuer toutes autres tâches assignées.

Qualifications :

  • Diplôme de baccalauréat en gestion de la construction, ingénierie, administration des affaires, communications ou dans un domaine connexe.
  • Minimum de 3 à 5 ans d'expérience en rédaction de propositions dans les secteurs de la construction ou de l'ingénierie, en se concentrant spécifiquement sur les projets clé en main.
  • Bonne compréhension des processus de conception-approvisionnement-construction-mise en service et de la terminologie associée.
  • Capacité bilingue à parler à la fois anglais et français.
  • Excellentes compétences en communication écrite et verbale ; capacité à adapter les messages pour différents publics.
  • Attention aux détails et solides compétences organisationnelles pour gérer plusieurs propositions simultanément.
  • Maîtrise des logiciels de proposition et de la suite Microsoft Office (Word, Excel, PowerPoint).
  • Capacité à travailler en collaboration dans un environnement orienté vers le travail d'équipe et de manière autonome sous des délais serrés.
