Director of Sanctioning & Competition Support

Manage USAP Sanctioning

  • Receive tournament and league sanction application email notifications.
  • Enter data (tournament results) on the tournament spreadsheets.
  • Review applications to determine if the event meets USAP sanctioning criteria. If not, work diligently with the tournament director (TD) or league coordinator (LC) to address item(s) to ensure the sanctioning criteria is met.
  • Once approved, send the USAP Sanction Notification Letter, TD Handbook and Thank You packet.
  • Update PickleballBrackets, UTR and any other approved tournament sanctioning software admin listing to pending’.
  • Verify receipt of sanction fee.
  • Verify receipt of Tournament Director / League Coordinator Checklist.
  • Verify receipt of approved tournament ball and ball color.
  • Update USAP calendar listing status from 'pending' to 'sanctioned'.
  • Update PickleballBrackets, UTR and any other approved tournament sanctioning software admin listing to sanctioned’.
  • Send status update email to TD / LC including Standard, MMO, No Ref sanctioned logo.
  • Receive Tournament Results Report and effectively manage the USAP Results to ensure they are correct and meet all USAP sanctioning criteria.
  • update tournament spreadsheet add # of players; entries; brackets; entries / event; expired memberships.
  • Maintain a running log of annual sanctioned tournaments and leagues so the organization knows if USAP sanctioning is ahead or behind on its annual sanctioning goals.
  • Work with the VP of Competition, and all members of the USAP competition staff to develop and maintain a national standard for USAP sanctioned tournaments, and USAP owned / operated events, including but not limited to the Golden Ticket tournaments and National Championships.
  • Work with the VP of Competition and competition staff to review, revise and improve the current sanctioning process.
  • Work with the VP of Competition to manage and facilitate information and updates on the USAP website, all approved tournament sanctioning platforms and any other media where member / player communications are vital for the competition experience.

Will work with the USAP CMO and or the USAP communications team on timing for such updates.

  • Consistently look for new value propositions intended to add additional value to USAP sanctioning.
  • Be pro-active in sourcing and communicating regularly with non-sanctioning tournaments directors to explore opportunities that could result in sanctioning their events.
  • Provide support and help tools for training and assisting tournament directors and league coordinators who are sanctioned their events.
  • Work directly with the CMO and the communications team to continuously market USAP tournament sanctioning within all USAP media channels (website, social media, Pickleball Magazine, USAP newsletters, PT.com, other).
  • Responsible for submitting and managing all sanctioning-related budget items on an annual basis and reforecasting as requested.

Department Management & Support :

  • Work directly with the USAP competition team and assist with sanctioning-related matters.
  • Work with the CMO and USAP communications team to manage all tournament-related content on USAP website to ensure it is up to date and easy to navigate.
  • Participate in coordination of all competition-related aspects of USAP owned and operated events, including qualification, seeding, formats, scheduling, and competition rules.
  • Serve as an organizational liaison with UTR, Pickleballbrackets and various tournament management platforms.
  • Serve as an organizational contact and support representative for USAP member inquiries regarding ratings to assist and or to direct such inquiries to the appropriate contacts.
  • Manage day to day USAP responses to player eligibility issues and serve in a communications support role for the competition department.
  • Assist Golden Ticket and National Championship staff and committees on results reporting and qualification procedures.
  • Assist with the annual update of the USAP Tournament Director Handbook and Tournament Director Check List.
  • Serve as the lead for the Competition staff on results reporting and tournament qualification procedures.
  • Serve as a participant or advisor on all tournament-related committees.
  • Work in conjunction with the Tournament and Member Experience Manager to assist and provide customer service to prospective TDs and LCs who may be considering USAP sanctioning but have questions or require some assistance.

Event Support :

Attend USAP National Championships and possible Golden Ticket tournaments (on as needed basis) to aid the Tournament Director.

This assistance may include, desk operations support, player communications support (registration, refund, and other related event emails).

Assist with the management and training of any temporary staff that might be hired for tournament-related duties and similar tasks.

Provide additional department and customer service support during heavy player registration periods which occur on the front-end of USAP owned and operated events including the National Championships.

Referee & Rules Support :

  • Work with the Managing Director of Officiating to ensure sanctioning-related matters are addressed and subsequently updated in related documents and webpages, associated with the referee certification and training programs.
  • Assist competition staff regarding rules interpretation matters and annual rule reviews / recommendations to ensure sanctioning policies and related materials are consistent and updated accordingly.

Other Related Duties and Projects :

  • Create and analyze reports and surveys.
  • Assist with other projects as needed and directed by the VP of Competition, CCO, CMO, CEO or Board of Directors.
  • Attend organization and / or program-level meetings as directed. These may include travel to annual ambassador and board events.
  • Refer to the employee handbook for other terms, conditions and benefits of employment.
