JOB OVERVIEW : Under general supervision, the Executive Assistant provides a wide range of operational support to the corporate leadership team, through a variety of administrative processes, procedures, and cyclical calendar of activities.
This role serves as the administrative process expert and coordinator and first point of contact for the corporate office.
Greets visitors and callers, answer phones, and transfer calls. Serves as the first point of contact for internal and external stakeholders, addressing inquiries, resolving issues, and providing assistance as needed.
Books conference rooms and other meeting spaces, and schedule company-wide events
Manages incoming and outgoing mail, emails, faxes, and packages.
Monitors and order office and break room supplies.
Submits work orders for repairs and maintenance, and connect with vendors.
Manages company-wide communications, such as memos, announcements, and invitations using a variety of platforms to compose, edit and distribute correspondence.
Provides general administrative support to various departments (Finance, Technology, HR, etc), such as creating documents, proofreading, and filing.
Maintains and organizes office records, files, and documents, both physical and electronic, to ensure accessibility and compliance with organizational policies and regulations.
Coordinates events, meetings, and conferences, including logistical planning, scheduling, and execution.
Prepares and present various reports as requested.
May attend meetings to relay and collect information.
Responsible for the research, compilation, and organization of materials for leadership’s use in problem resolution.
Prepares monthly credit card reconciliation for the leadership team.
Performs other duties as assigned.
Monday - Friday, 8am-5pm
