Job Description
David Weekley Homes is currently seeking a Design Services Coordinator to join our East Coast Design Services team at our Orlando, FL office.
The ideal candidate will demonstrate a robust work ethic, exceptional communication skills, and proficiency in managing multiple priorities simultaneously.
Previous experience as an executive assistant, within residential home building or commercial sectors, a background in construction or marketing, or familiarity with architecture will be advantageous.

Responsibilities :
- Coordinate and facilitate communication among managers, ensuring timely reporting and provisioning of necessary operational tools.
- Manage comprehensive logistics for departmental meetings and events, including venue coordination, scheduling, catering, and audiovisual arrangements.
- Develop and refine PowerPoint presentations for diverse meetings, ensuring accuracy of content and associated documentation.
- Handle administrative tasks such as correspondence preparation, invoice processing, and oversight of monthly financials for accuracy and compliance.
- Provide training and onboarding support to new team members, ensuring smooth integration into departmental workflows.
- Conduct field research in collaboration with the Director of Product, assessing competition and analyzing market dynamics.
- Attend and document minutes from various departmental meetings and conference calls, ensuring accurate and timely record-keeping.
- Manage travel arrangements, including flight bookings, accommodations, and ground transportation logistics for departmental staff.

- Proficient in Microsoft Office suite (PowerPoint, Word, Excel, Outlook)
- Possess strong organizational acumen and excel in structured work environments
- Demonstrate a commitment to delivering exceptional internal and external customer service
- Preferred : A college degree or equivalent additional experience.
- Proven administrative experience supporting departments, teams, or executives.
- Advantageous : Experience supporting architecture firms, real estate development, or construction teams, with a demonstrated enthusiasm for tackling projects in a positive and detail-oriented manner within a team setting.
