We are seeking a highly organized and proactive Executive Assistant to support three attorneys in our small business transaction law firm located in Northwest Houston.
The ideal candidate will have experience with legal terminology and documents related to business transactions and possess outstanding organizational and time management skills.
Strong written and oral communication abilities are essential, along with a high degree of proficiency in Microsoft Office Word, Excel, PowerPoint, and Outlook.
An associate or bachelor's degree and a proven track record of supporting executives in a professional environment are required.
Key Responsibilities :
Administrative Support :
Coordinate many deadlines, appointments, meetings, and complex calendars.
Draft and proofread legal documentation, presentations, and reports.
Set up and maintain electronic and paper filing systems.
Manage emails, phone calls, and other communications coming in and out.
Assist with attorney time entries and billing matters.
Client Relations :
Act as a liaison among attorneys, clients, and other outside parties.
Plan client-related meetings, conferences, and events.
Assist in or attend to the clients and protect client data.
Project Coordination :
Arrange and organize transaction documents and process transactions for completion.
Keep track of deadlines and follow up on matters which have not been acted upon.
Work with other staff members to help enhance procedures and processes.
Research & Documentation :
Do simple legal & business research on certain areas as is instructed.
Collect information, perform summaries or drafts under attorney's supervision.
Office Management :
Manage reordering and purchasing of office supplies.
Make travel arrangements and submit travel expenses.
Complete assigned special projects and any other duties as required.
Qualifications :
Must possess an associate or bachelor's degree.
4 to 6 years minimum experience as an executive assistant or related field.
Experience working for professionals or top executives in an office setting.
