Our client, a leading biotechnology research firm is seeking a proactive and highly organized Executive Assistant to support their CEO.

This is a hybrid contract role in Redwood City, CA looking for a rock star to go full-time with. The ideal candidate will have exceptional communication skills, strong attention to detail, and a passion for the biotechnology field.

Please note this is a temp-to-perm role in Redwood City, pay will $130-140k

Key Responsibilities :

  • Manage the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize materials for meetings, including agendas and presentations.
  • Draft and edit correspondence, reports, and other documents as needed.
  • Act as the primary point of contact between the CEO and internal / external stakeholders.
  • Facilitate communication and ensure timely responses to inquiries.
  • Represent the CEO in meetings when necessary, taking notes and providing follow-up.
  • Assist in the coordination and tracking of special projects and initiatives.
  • Help prioritize tasks and deadlines, ensuring timely completion of objectives.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Ensure compliance with company policies and procedures.
  • Organize and coordinate company events, board meetings, and retreats.
  • Support logistics for conferences and industry events.

Requirements :

  • Bachelor’s degree preferred
  • 3+ years of experience as an executive assistant, preferably in a biotechnology or scientific research environment.
  • C-level experience is a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills and a proactive mindset.
  • High level of professionalism and integrity.
  • Interest in biotechnology and an understanding of industry terminology is a plus.
