Role & Performance Expectations :
The purpose of the position is to serve by optimizing the effectiveness and efficiency of the Operations & Human Resources Team.
This purpose is achieved through organization, document control, and team advancement.
The Administrative Assistant takes initiative, uses influence, prioritizes, is adaptable and willingly performs a wide variety of responsibilities and projects.
We are focused on friendly and respectful professional communication and collaboration with every person in the organization, our clients, and community.
The Administrative Assistant also serves other process team members on a short term or reoccurring regular basis. The Administrative Assistant is trusted with confidential and sensitive files, financial data, correspondence, and conversations.
Assignment is at the main office with infrequent travel to appointments, project sites and responsibility advancement.
Core / Minimum Responsibilities :
Document Control & Organization
- Maintain Operations & Human Resources office(s) for optimal productivity
- Code expenses and expedite payment
- Electronic and paper filing system : set up, organize, file, retrieve, as well as archive
- Organize and maintain computer folders and email
- Logs : create, maintain and assure compliance
- Schedule, prepare and organize performance review process
Office Administration
- Corporate, Operations, HR Team and Production Team support as needed
- Coordinate bottom floor office supplies, kitchen supplies, office equipment maintenance & repair in coordination with the Finance Administrative Assistant
- Vehicle maintenance as needed
Executive Time Management
- Calendar / appointment management and scheduling in Outlook
- Phone optimization
- Troubleshoot & resolve problems
- Errands
- Conduct directed research
Corporate Sponsored Event Coordination Support
Schedule meetings, issue memorandums, and make arrangements
Employee Engagement Events
Company Retreats
Training Workshops
Based on the Talent, Attitude, Skills and Knowledge of the Administrative Assistant, the Human Resources Manager will develop a plan on areas for potential advancement.
Recommended Computer Skills :
Microsoft Suite (excel, word, power point) and Bamboo HR
Recommended Education / Experience :
- High school graduate
- College courses in business administration, English grammar and composition
Physical Demands :
This office position requires the ability to lift files, open filing cabinets and bend or stand as necessary. Involves walking, effective communication, listening, using hands to operate office equipment.
Vision abilities required for computer work, reading, writing, typing, data entry and the ability to adjust focus. The employee may be required to push, pull, lift and / or carry up to 20 pounds;
attempt no greater weight without assistance. Driving vehicle and trucks with a clean DMV record. The noise level in the work environment is an active open office.
