Salary :
The Account Coordinator provides support for the Account Services team. The ideal candidate must be extremely motivated and organized to be an asset in our fast-paced environment.
A key element of this position is the candidate's ability to think on their feet, have strong organization skills and the ability to manage multiple projects and requests.
Essential Duties & Responsibilities
- Support Internal Teams : Serve as the primary support for account managers and directors by assisting with the organization and execution of day-to-day tasks related to client accounts.
- Meeting Facilitation : Capture and distribute clear, actionable meeting notes, ensuring all team members understand their responsibilities and next steps.
- Effective Communication : Act as a key communicator within the team, relaying important updates, escalating issues when necessary, and ensuring that all stakeholders are informed and aligned.
- Project Management : Oversee the scheduling and tracking of project deliverables within our project management system, ensuring timelines are met and adjustments are made when necessary.
- Client Updates : Provide clients with regular updates on project progress, including due dates and status reports, and proactively address any concerns.
- Research & Support : Assist with research and gather support materials for client projects, following direction from account managers and directors.
- Document Preparation : Assist in creating, editing, and proofreading various client-facing documents such as Scope of Work (SOW) agreements, Internal Account / Project Briefs, Master Services Agreements (MSAs), and Change Orders.
- Budget Oversight : Help monitor project budgets, ensuring all financial aspects of client accounts are tracked and reported accurately.
- Presentation Preparation : Prepare and refine documents and presentations for client meetings, ensuring clarity, professionalism, and alignment with client objectives.
- Calendar & Meeting Coordination : Manage and update team and client calendars, scheduling follow-ups and ensuring all meetings are timely and productive.
- Leadership Development : Demonstrate strong people management skills by motivating and guiding internal teams to fulfill their responsibilities effectively.
- Special Projects : Tackle special projects and support other departments as needs arise, contributing to the success of both the client and the agency.
- Project Prioritization and Deadline Management : Strategically prioritize tasks across multiple projects to ensure all deadlines are consistently achieved.
Reporting Relationship : Will report to a senior member of the Account Services team, who will provide mentorship, oversight, and assistance with your day-to-day responsibilities and career growth.
Qualifications
- Education : Bachelor's degree in business, marketing, or a related field is preferred.
- Technical Proficiency : Proficiency in MS Word, Excel, PowerPoint, and comfort with AI tools is essential. Familiarity with project management software is a plus.
- Communication Skills : Extraordinary communication skills, particularly in providing clear and timely updates to the Account Services team about task status, coordination efforts, and potential issues.
