JOB DESCRIPTION Key Responsibilities :
Greeting and Welcoming : Greet visitors, clients, and employees with a friendly and professional demeanor. Create a welcoming environment and ensure a positive first impression of the organization.
Answering Phone Calls : Handle incoming phone calls, direct them to appropriate personnel or departments, and provide accurate and helpful information to callers.
Take messages and relay them promptly.
Managing Inquiries : Respond to inquiries from visitors and callers, providing information about the organization's services, products, or activities.
Maintain a thorough understanding of the organization's offerings.
Scheduling and Appointments : Schedule appointments, meetings, and conference rooms. Coordinate and manage the organization's calendar to ensure efficient use of time and resources.
Mail and Packages : Receive, sort, and distribute incoming mail, packages, and deliveries. Coordinate outgoing mail and packages, ensuring accurate addressing and timely dispatch.
Administrative Support : Assist with administrative tasks such as data entry, filing, photocopying, and document preparation.
Maintain organized records and databases.
Visitor Management : Issue visitor badges, sign-in sheets, and maintain security protocols. Ensure compliance with safety and security guidelines.
