Receptionist Job Summary
We are seeking a friendly and welcoming Receptionist to join our growing company. You will greet clients and visitors when they arrive at the office and determine the reason for their visit.
Other job duties include answering phones and emails, entering information into our database, organizing files, and making copies.
You will also monitor the inventory of office supplies and order more when necessary. We prefer candidates who have some experience in an administrative role.
Avalon is an independent transportation company specializing in supporting people who are relocating internationally and domestically to Silicon Valley.

Hours are full-time work daily from 8 : 00 am to 5 : 00 pm, Monday to Friday, some part-time hours are required on weekends when necessary.
Must be able to work when requested.
Receptionist Duties and Responsibilities
- Answer phone inquiries and provide basic company information
- Perform clerical duties, take memos, maintain files, and organize documents
- Monitor the front desk and comply with all security procedures for visitors
- Manage calendar events and appointments
- Oversee mail deliveries, packages, and couriers
- Purchase, track, and invoice office supplies for each department
- Support remote employees
Receptionist Requirements and Qualifications
- High school diploma or equivalent
- Prior administrative or clerical experience required
- Proficient with Microsoft Office Suite (Word, PowerPoint, and Excel)
- Highly organized multitasker who works well in a fast-paced environment
- Excellent time management and communication skills
- Willingness to learn and to grow with the company
- Being detail-oriented with strong follow-through skills is a must
- Professional and comfortable working with High- C Level Clients
- Must have a good driving record, NO DUIs
- Able to organize, prioritize, and work with a sense of urgency to meet deadlines
- Able to build and maintain productive relationships with peers and cross-functional teams as well as the ability to communicate across cultures
- Logical analysis and problem-solving skills
- Able to take initiative
- Proficient with Microsoft Office and computer skills
- Protects the organization's value by keeping internal information confidential.
- Ability to recognize potential new customers by answering product and service questions and suggesting information about how we can support their needs
