School Accountant (Payroll / Accounts Payable)
PAY : $60,000 - $65,000 Based on Experience
The Accountant’s primary responsibilities are : to manage and process payroll for the school district (3 locations; 170 employees), a management company (20 employees) and a staffing company (75 employees) approximately 265 employees total, and process all accounts payable and accounts receivable for the school district, management company and staffing company.
In order to be effective in this position, the Accountant must have a working knowledge of payroll systems (Paychex Flex preferably) and accounting systems.
The Accountant must also be familiar with payroll laws, Microsoft Excel, Microsoft Word, Quick Books, and have excellent verbal and written communication skills, attention to detail, timeliness and possess confidentiality at all times.
Payroll Duties :
- Train and support administrative team in the time & attendance portion of payroll
- Verify supervisors’ approval of employee timesheets
- Process and submit payroll; including adding new hires
- Process garnishments, Friend of the Court and bankruptcy notifications
- Reconcile and balance payroll
- Reconcile and balance benefits and deductions
- Manage and maintain the 401K retirement process online
- Import / Export PTO hours
- Maintain records of rates of pay, employee payroll benefits and other deductions
- Perform responsibilities that contribute towards meeting or exceeding team and Executive goals
- Provide prompt, courteous and accurate customer support in resolution of payroll transactions
- Provide suggestions and / or recommendations for changes to applicable processes or tools as recognized from functioning in the role on a daily basis
Accounts Payable Duties :
- Maintain School District, Management Company and Staffing company.
- accounts payable vendor files : general, paid, open and recurring.
- Review and process all invoices (vouchers) and check requests.
- Prepare and process all accounts payable checks.
- Review and process all Purchase Orders.
- Maintain and file :
- Aged Trial Balance.
- A / P Check Register.
- Purchase Orders.
- Reconcile month-end vendor statements to our records and correct as necessary.
- Process and maintain records related to 1099-MISC.
- Ensure vendor packages have been completed for all approved vendors.
- Vendor Analysis - monthly.
- Vendor / RFP contract coordination.
- Perform responsibilities that contribute towards meeting or exceeding team and Executive goals.
- Provide prompt, courteous and accurate customer support in resolution of accounts payable transactions.
- Provide suggestions and / or recommendations for changes to applicable processes or tools as recognized from functioning in the role on a daily basis.
Accounts Receivable Duties :
- Prepare and process weekly bank deposits.
- Posting cash receipts.
- Maintain all cash receipts journals.
General Ledger Duties :
- Familiar with Michigan Department of Education Public School Chart of Accounts.
- Occasional posting of journal entries.
Additional Responsibilities :
- Liaison for the Human Resources Department.
- Verify payroll reconciliation reports.
- Interface with retirement plan management team for annual 401k audit.
- Prepare working documents for internal and external audits.
- Complete other Business Office duties as assigned (bank reconciliations, operational audits, account analysis, payroll budget reviews, etc.).
- Attend weekly meetings.
- 40 hours per academic year of professional development (MSBO, MIEM, National Seminars, etc.).
Qualifications :
- Bachelor’s Degree required.
- 3 years or more experience in payroll processing.
- 3 years or more experience in accounts payable processing.
- Ability to work successfully in a fast-paced environment while maintaining good relationships with co-workers and supervisors.
- Ability to process payroll from beginning to end with little or no supervision.
- Capacity to effectively communicate human resources and payroll related matters to all levels of staff and management.
- Experience with retirement services.
- Experience in school accounting and finance.
