Key Responsibilities :

Recruitment Activity Support

  • Serve as a resourceful partner to internal and external customers, addressing inquiries and completing requests.
  • Facilitate relocation programs and assist with travel arrangements for staff and candidates.
  • Coordinate community tours and process invoices for payment.
  • Run ad hoc reports and track relevant data.
  • Facilitate payment processes for hiring incentives and coordinate with external partners on immigration and sponsorship matters.

Pre-Employment Requirements

  • Ensure successful completion of pre-hire health assessments and drug screens.
  • Validate and retain regulatory documentation, including license and education verification.
  • Oversee the completion of criminal background checks and motor vehicle records.
  • Communicate with candidates, recruiters, and hiring leaders throughout the pre-boarding process.
  • Partner with multidisciplinary teams to address workflow gaps and ensure pre-hire quality standards are met.
  • Conduct audits, analyze trends, and develop solutions for process improvements.
  • Serve as a system administrator and technical expert for key recruitment systems.

Customer Service & Process Improvement

  • Maintain a high level of professionalism and provide excellent customer service to all stakeholders.
  • Participate in and contribute to continuous improvement strategies and projects.
  • Implement workflow changes within systems and resolve any system-related issues.

Background / Expertise :

  • Minimum of three years in recruitment support or administrative roles, with experience in data coordination and project monitoring.
  • Proven ability to serve as a subject matter expert and provide consultation to others.
  • Proficient in using databases, tracking, and entering data.
  • Knowledge of recruiting systems and hiring processes preferred.
  • Experience in quality control, regulatory compliance, and problem solving is preferred.
  • Previous HR experience and knowledge of employment law are advantageous.
