Background : The Priestchaplain will serve a modern retirement community which offersResidential
Living Independent Plus Assisted Living LongTerm Care and Memorial Support.
Scopeof Work The contractor shall have the overall responsibility of theCatholic Community
Religious Activities conductingprograms consistent with Standard Operating Proceduresfor
Religious Activities Chaplains and Chapels as are inplace during the duration of the contract.
Though theChaplain has no direct control over any Chapel Funds per SOP theChaplain
serves as a nonvoting member of the Chapel FundCouncil. When necessary collects and
seals collectionswhen required number of volunteers are not available. Placescollection in the
safe and notifies Chapel Fund Managerthat deposit has not been completed due to lackof
required volunteers. Committee The contractor shall bean ordained Roman Catholic priest
with ecclesiasticalendorsement. The contractor shall provide services based on 40hours per
week.
The followingdelineate the activities which the chaplain shall performindependently :
a. Conduct Mass onSunday and on other days to include daily Mass on weekdays andother days as
determined between the priest congregationand home.
b. Conduct daily pastoral visitation asscheduled to and for all residents as a part of the overallchaplain
pastoral support program.
c. Conductrites and sacraments such as Eucharist Reconciliation Sacrament ofthe SickBaptism
Matrimony and funeral services inaccordance with established procedures of his / her faithgroup.
d. Shall minister to all residents regardless offaith group while refraining from infringinguponthe
sacraments of other faith groups.
e.Assist the AFRH as requested in the development and conducting ofreligious services to include
special religious servicesto observe special days and occasions such as : Thanksgiving DayMemorial
Day Veterans Day Christmas Day Memorial Servicesand others as may be requested which are
ecumenical and / ornondenominational.
f. Subscribe to and support the visionsand goals of pastoral care as outlined by the StandardOperating
Procedures (SOPs) as are in place during theduration of the contract.
g. Dress appropriately inclerical attire.
h. Set up religious facilities equipmentand liturgical appointments for programs and worshipservices;
assist and / or instruct other chaplains orvolunteers assisting in worship services.
i. Organize anddistribute devotional religious education and publicity materialsto enhance pastoral
support of the Residents.
j.Help forecast office needs and requirements; and prepare and submitsupply requests to the COR.
k. Prepare and submit reportsto the Chief Resident Services as requested and as outlined incurrent
SOPs.
l. Work out of and be available fordropin visits appointments and pastoral counseling in theoffice
designated by the Government. Visits shall beduring normal working hours and shall be scheduled soas
not to interfere with the weekday visitationschedule.
m. Provide worship bulletins and otherpublications necessary to accomplish worship andministry.
n. Prepare and provide written procedural andschedule instruction necessary for use in the absenceof
the fulltime Chaplain.
o. Chart and attendmeetings as requested and as necessary to comply with Long TermCare regulations
and policies and procedures.
p.Create an environment free of discrimination and harassment for allresidents residing at the home with
whom work is done.Work with COR to resolve resident complaints.
q. Identifysubcontractors and obtain approval from the Contracting Officerprior to allowing them to
assume any religiousactivities.
r. Assist in the compilation and analysis ofstatistical data related to the Religious Activities.
s.The Contractor may attend meetings and be a committee member asrequested and with knowledge of
the COR.
Thenormal hours of operations for AFRH are from 7 : 30 AM to 4 : 00 PMMonday through Friday.
ABSENCES
a. BackupCoverage; The Contractor shall provide backup coverage for requiredservice in his absence.
The Government does not cover thecost of backup coverage.
b. Scheduled Absences; TheContractor shall schedule absences such as vacation continuingeducation
and any other changes that could impact servicesto the residents at least 6 weeks in advance. The
COR andthe Contractor shall mutually agree upon the scheduled absence andthe Contractor shall
provide a backup Chaplain who isfamiliar with the procedures for scheduled services.
c.Unscheduled Absences; The Contractor shall notify the COR four (4)hours prior to the scheduled shift
when unable to work(e.g. illness)
