Position Description
A medium-sized printing company is seeking a part-time (25-30 hours per week) Receptionist / Administrative Assistant to support daily office operations.
Job Duties :
- Answering incoming calls, screen and direct calls
- Greet people entering organization
- Collect mail daily and distribute accordingly
- Process invoices in printing software for customers and email invoices to designated contacts
- Assist with accounts payable functions; match vendor invoices with purchase orders, and reviews invoices for proper approvals, account coding, and compliance with the purchasing policies of the organization
- Contact customers in order to obtain or relay account information
- Provide Administrative support as needed
Requirements :
- Proper phone etiquette while answering phone
- Good organizational skills and self-motivated
- Accuracy with figures is essential; must be detail oriented
- Understanding of computer software and other office equipment
- Proactive, reliable, and willing to learn and help out where needed
- Understanding of basic accounting principles
- High school diploma required
Experience :
- Required software skills; QuickBooks, Excel, Word, and Outlook
- Accuracy with figures is essential; must be detail oriented
- Knowledge of administrative and clerical procedures
- Ability to multi-task and think on your feet
- Ability to prioritize and handle a variety of projects simultaneously
