Receptionist/Administrative Assist

Position Description

A medium-sized printing company is seeking a part-time (25-30 hours per week) Receptionist / Administrative Assistant to support daily office operations.

Job Duties :

  • Answering incoming calls, screen and direct calls
  • Greet people entering organization
  • Collect mail daily and distribute accordingly
  • Process invoices in printing software for customers and email invoices to designated contacts
  • Assist with accounts payable functions; match vendor invoices with purchase orders, and reviews invoices for proper approvals, account coding, and compliance with the purchasing policies of the organization
  • Contact customers in order to obtain or relay account information
  • Provide Administrative support as needed

Requirements :

  • Proper phone etiquette while answering phone
  • Good organizational skills and self-motivated
  • Accuracy with figures is essential; must be detail oriented
  • Understanding of computer software and other office equipment
  • Proactive, reliable, and willing to learn and help out where needed
  • Understanding of basic accounting principles
  • High school diploma required

Experience :

  • Required software skills; QuickBooks, Excel, Word, and Outlook
  • Accuracy with figures is essential; must be detail oriented
  • Knowledge of administrative and clerical procedures
  • Ability to multi-task and think on your feet
  • Ability to prioritize and handle a variety of projects simultaneously
