Position Description

DEFINITION

The ERP Administrator (ERPA) performs a variety of duties in the support of the information systems of the college. The ERPA will act as a resource to the college in the implementation, maintenance, and support of the Ellucian Colleague information management system.

The ERPA works with the ERPA System Administration team in supporting the Administrative Computing System. This includes oversite of all ERP administrative functions over accounts payable, accounts receivable, GL and accounting, payroll, purchasing, financial aid, registration, counseling, scheduling, reporting, HR, ERP system testing and updating, new project implementation, interoffice coordination, business continuance and internal SLAs, as well as end-user training in the use of Information Systems.

SUPERVISION RECEIVED AND EXERCISED

  • Receives general supervision from the Vice President for Information Technology Services
  • May supervise one or more staff members.

Duties & Responsibilities (Essential Functions)

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS Essential and other important responsibilities and duties may include, but are not limited to, the following :

Essential Functions :

  • Act as a resource for knowledge and technical support to the entire college in the support of the Ellucian Colleague integrated information management system
  • Aid in the implementation and maintenance of Colleague and its supporting systems
  • Provide end-user training on the Colleague system
  • Train / Mentor the Assistant ERP Administrator
  • Assist in the management of mission-critical systems ancillary to the Colleague system
  • Diagnose and analyze system problems
  • Develop and implement solutions
  • Promote business efficiency by the employment of automated processes
  • Provide resource support for recommendations on hardware and software purchases
  • Promote business stability trough maintenance, timely patching, coordination for testing, and consistent professional execution
  • Introduce and lead projects that will bring innovation to CFCC’s functions and practices
  • Collaborate with all other teams to employ systems integration and interoperability
  • Collaborate with college-wide stakeholders and assure each office knows what they need to know about the current and future state of the colleague application, including upcoming patching information and schedules
  • Network with other colleges and universities and adopt widely accepted best practices
  • Embed business intelligence practices and tools in every CFCC decision making area

Other Important Functions :

  • Assist in data conversion and test processes as well as data extraction and manipulation from system databases
  • Assist in the management and creation of Colleague security classes
  • Ability to create Colleague rules to support processes of the entire college
  • Develop and implement custom reports and programming
  • Assist the Information Technology Services team in the creation of transferrable documentation, policies and procedures.
  • Assist in maintaining computer system-related materials and supplies
  • Assist in the setup of necessary computer equipment for student registration, and other college business requiring ERP system access
  • Provide cross-level support when necessitated by limited staffing
  • Perform related duties and responsibilities as required

Qualifications

QUALIFICATIONS

Essential :

  • Strong skills in the Ellucian Colleague integrated suite of information management applications
  • Familiarity with a recent revision of Colleague
  • Ability to train end-users on Colleague modules
  • Knowledge of components and parts used in modern computer equipment
  • Knowledge of basic principles and procedures of record keeping and database management
  • Proficiency in the English language, spelling, grammar, and punctuation
  • Knowledge of modern office procedures, methods, and computer equipment
  • Knowledge of basic arithmetic
  • Should be a highly motivated team player with excellent communication skills

Desirable :

  • Knowledge of an ERP-class DBMS Administration
  • Ability to use query languages such as UniQuery and SQL
  • Ability to use the Colleague Studio for application development
  • Ability to build reports in the report-writing tool Informer
  • Knowledge of security administration and file system administration
  • Hands-on experience in Red Hat Linux
  • Experience working in a post-secondary educational institution environment.

  • Communicate clearly and concisely, both orally and in writing
  • Maintain mental capacity which allows the capability of : making sound decisionsanswering questionsdemonstrating intellectual capabilities
  • Establish and maintain cooperative working relationships with those contacted in the course of work

EXPERIENCE AND TRAINING GUIDELINES :

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.

A typical way to obtain the knowledge and abilities would be :

Experience :

  • Two (2) or more years’ experience in the use, configuration, and support of the Ellucian Colleague suite of information management applications and training end-users in the operation of complex software applications
  • Experience in Red Hat Linux and working knowledge of Microsoft enterprise products

Education :

  • Bachelor’s degree with major course work in computer applications, database management, or a related field
  • Additionally, candidates will be considered with 6 or more years of experience in lieu of degree requirement.
  • Formal Ellucian training / certifications preferred

License of Certification :

Possession of a valid driver’s license
