Administrative Assistant
The primary purpose of this position is to assist the production staff with the administrative functions of production responsibilities as directed.
Primary responsibilities include :
- Consolidate and migrate paperwork into Ephesoft.
- Review and report completed Manufacturing Orders.
- Manage Accounts Payable.
- Perform inventory cycle counts.
- Answer and route incoming calls. Accurately record messages, as necessary, and distribute them in an efficient manner to the proper departments.
- Ensure compliance of Corporate Visitor Policy.
- Assist other departments on day-to-day tasks, when needed.
- Arrange and organize branch luncheons when requested.
- Order office supplies / forms and maintain inventory in supply room.
- Assist departments with HR functions as it relates to new and prospective employees.
- Maintain the Plant Access Card program; ensuring all employees and visitors are equipped with and understand the operation of the security system.
- Open incoming mail daily. Date stamp and distribute to the proper departments.
- Enter and invoice customer orders, communicate all special requirements to operations, communicate production schedules to customers, schedule transportation and coordinate customer raw material movements.
- Regular attendance is essential.
- Timely completion of tasks.
- Personal and team interactions required.
- Perform all duties outlined in relevant SOPs and all other duties to be assigned.
- Uphold Hydrite’s Standard of Excellence through a continuous commitment to maintain quality facilities and provide quality products and services to internal and external customers.
- Participate in RCRA, regulatory, health & safety and process training activities as required. Review changes / additions with your supervisor.
Must be RCRA compliant.
REPORTING STRUCTURE
This position reports to the Branch Buyer & Inventory Manager.
PREFERRED EXPERIENCE
- High school diploma or equivalent required.
- Must have communication and interpersonal skills, along with the ability to read, write, and speak English.
- Strong computer skills and knowledge of Power Point, Word, and Excel required.
- ERP software experience a plus.
