We are in search of an Administrative Events Coordinator in the education sector at a university located in lower Manhattan area.

The role involves a mix of administrative, event management, and communication duties. The successful candidate will play a crucial part in event scheduling and tracking, communication and training, as well as event support and reception.

Responsibilities :

  • Oversee incoming requests for both internal and external events, maintaining a tracking system for all requests.
  • Manage and update team staffing calendar and the university-wide event scheduling program.
  • Prepare and distribute weekly upcoming events reports for the events team and senior staff.
  • Conduct one-on-one training sessions for new employees and provide in-house training in diagramming software to team members.
  • Administer digital / web platforms used for event registration.
  • Serve as the first point of contact for incoming phone calls and walk-ins.
  • Manage assigned internal clients and assist the events team in troubleshooting during events.
  • Conduct daily checks of room setup for the day's events and send out weekly feedback surveys to clients who hosted events.
  • Review surveys and provide monthly reports on survey results to the Executive Director of Event Management and Programming, Vice President of Institutional Partnerships, and CFO.
  • Perform miscellaneous tasks / projects as needed to support the group mission.

Skills :

  • Proficient in Microsoft Excel, Microsoft Outlook, and Microsoft Word.
  • Experience in customer service and data entry.
  • Knowledge and experience in coordinating educational events.
  • Ability to interact with diverse individuals and groups at all organizational levels.
  • Strong problem-solving skills with a solution-oriented mindset.
  • Excellent time management and organizational skills.
  • Ability to work in a high volume / efficient environment.
  • Excellent interpersonal and customer service skills with a positive, solution-oriented attitude.
  • Excellent verbal and written communications skills.
  • Strong attention to detail.
  • Ability to execute tasks in a thorough, accurate, and timely fashion while managing multiple priorities.
  • Proficiency in Microsoft Office is required, Advanced knowledge of Microsoft Excel application to produce reports and charts.
