  • Job Summary

    This position will be the primary event planner for the Office of Institutional Advancement and President's Office events, managing all aspects of the event planning process. As a representative for the college this position will interface with the community, government officials, college partners and the college community while providing high level service and creative events and experiences. Flexible, solutions orientated team-member who is willing to partner in growing CGCC's alumni programming and other new opportunities.

    Essential Functions

    30%- Plans, organizes, and executes events on behalf of the Office of the President and the Office of Institutional Advancement, including high-profile college-wide and community events such as convocation, commencement, awards ceremonies, conferences, co-hosted community programs, fundraising events, and other special initiatives. Coordinates all logistical aspects of events from initial concept through post-event evaluation.

    10% - Conducts research and maintains current awareness of community events and programs within the college's service and target areas. Coordinates college participation through attendance, involvement, or sponsorships, ensuring that the institution is well-represented and aligned with community engagement strategies.

    20% - Manages event-related budgets and vendor relationships in coordination with college purchasing policies and procedures. Prepares budget estimates, tracks expenditures, reconciles invoices, and ensures cost-effective use of resources for events and sponsorships under the purview of the President's Office and Institutional Advancement.

    10% - Collaborates with key service units and departments across the college (e.g., facilities, marketing, IT, security, food services) to ensure effective planning, delivery, and promotion of events. Participates in regular planning meetings and contributes to refining event practices, communication protocols, and execution standards.

    10% - Supports the strategic goals of the Office of Institutional Advancement by coordinating and supporting alumni engagement initiatives, including event planning, community outreach, and participation in external programs. Assists in building connections between alumni and the college through consistent communication, event participation, and relationship-building activities.

    10%- Maintains event supplies and equipment including an active inventory, check-out procedure, replacement and reordering

    10%- Other duties as assigned

    Minimum Qualifications

    Bachelor's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one year of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

    OR

    An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

    Desired Qualifications

    1. 2 years' experience planning events

    2. 2 years' experience implementing events through the use and collaboration of a team

    3. Experience in a professional or executive level office environment

    4. Experience working with governmental and high-ranking officials including protocol

    5. 2 years' experience with project management or formalized event tracking / monitoring

    6. 2 years' experience in a higher education environment

    Special Working Conditions

    May be required to work at multiple sites or locations.

    May be required to lift or carry up to 25lbs.

    Work Schedule Varies, May be required to work evenings and weekends, early mornings
